Overview

The Barbican is looking for a fun, highly motivated and proactive Executive Assistant (EA) to support our Director for Audiences to deliver on their vision to create the ultimate arts and cultural experience. The support this role provides is critical to enable the Director to go above and beyond in leading and inspiring a large, passionate, audience-focused team; achieving ambitious goals to transform the end-to-end audience experience; and building long-lasting relationships with partners that enable our success.

This role will not just manage the Director’s complex diary and busy inbox, but also play a leading role in enabling the Director’s communications, team engagement activities, strategic planning and research, networking opportunities, community engagement, and transformation projects. The role is the first point of contact for the Director, delivering joyful, proactive and engaging customer service with people inside and outside the Barbican walls. The role will be a strong advocate for Barbican values, equity, inclusion and wellbeing, and will join a dynamic and collaborative peer group of EAs across the Barbican and the City of London Corporation. Responsibilities
  • Provide executive support to the Director for Audiences, including complex diary management for a senior/executive level, proactively forward-planning appointments, resolving conflicts, and anticipating meeting needs (collating papers, etc.).
  • Organise complex travel arrangements and itineraries; draft correspondence.
  • Coordinate people-related processes within the division (probations, appraisals, recruitment, annual leave management, sickness records).
  • Develop and maintain efficient office systems and processes.
  • Assist with event arrangements (room bookings, refreshments, contact lists/guest lists).
  • Engage with internal and external stakeholders at all levels, including Board Members and diverse internal teams, ensuring high-quality customer service.
  • Build and manage relationships with excellent verbal and written communication, adapting to differing stakeholders and seniority levels.
  • Prioritise and manage time effectively with a proactive approach to work.
  • Utilise IT skills including MS Office (Outlook, Word, Excel and PowerPoint) and databases/computer-based systems.
Qualifications
  • GCSE Grade C or above in English and Maths, or equivalent.
  • At least three years of EA experience, including enabling a leader to be successful in a complex multi-stakeholder environment.
Salary and Benefits

£36,900 – £40,850 Per Annum
