A leading energy provider based in Cambuslang is seeking a Document Controller to provide support to project managers and teams. The role involves managing the Document Management System, ensuring document integrity, and supporting documentation flow for construction and utility projects. As Document Controller, you will provide support to the Quality Manager and Project Unit Manager(s), Project Managers, Project Teams, Engineering, Drawing Office, Construction and Procurement Staff with document control on all project portfolios.
Reporting to the Quality team on a labour allocation basis, taking day to day instruction from the Lead Document Controller to ensure projects are delivered on target within the boundaries of SPT (SP Transmission) Information Management System (IMS), you will support documentation flow between SPT, our partners, Contractors and suppliers for both EPC and PC contracts NEC4 contracts.
Directly reporting to the Lead Document Controller, you will support the Lead Document Controller with the day-to-day management of the document management system supporting regular reviews of the existing DMS (Document Management System), helping implement any required changes to ensure that the DMS remains fit for purpose.
Minimum DMS considerations include Centralised Repository, Document Versioning, Retrieval & Search, Lifecycle Management, Collaboration, Access Control, Audit Trails and Compliance, Metadata, Document review and Approval Workflows, Document Transmittals, Integration with Other Systems (other than BIM ACC Autodesk, such as IBuy and Project Wise).
As team contact regarding the Document Management System (DMS) for all process, training, communication and system development, including resolving issues as they arise on a daily basis.
Throughout the project lifecycle, you will take responsibility for ensuring access control is monitored effectively and updated in line with the business goals and objectives, managing digital document workflows using DMS and organise and maintain Project documents, ensuring all documents meet the requirements set out in the IMS.
Facilitating the correction of documents with regards to correct Template used, revision, structure and approval, you will support the ongoing Document Management System (DMS) processes and procedures review and development, conducting regular inspections to ensure integrity of project documents e.g. Project template, Final File and Tender.
Attending project Kick Off meetings as required, you will also be responsible for the administration of records, drawings and documents in accordance with the SPT IMS and other specifications.
Establishing and maintaining project drawings register and individual project document transmittals, you will coordinate final project archives, ensuring the integrity of final file after the Project Manager notifies completion.
Coordinating the final project archive, you will also upload the Final File as built drawings to the Vault, drawing comparator completion whilst working with Engineering Coordinator to resolve any issues.
To be successful in this role, you will need to demonstrate as minimum your working knowledge of Document Management Systems, with particular emphasis placed on document control procedures.
With significant experience of ACC/Autodesk, Project Wise and SharePoint systems (advantageous), you will possess experience in a Document Control role for a major Construction or Utility Construction project.
Able to multitask, prioritise workloads effectively and work efficiently to meet deadlines, you will hold a high degree of IT literacy, be able to interpret and present information in a logical and orderly manner, utilising strong IT and administration skills.
With experience of ISO 9001-2015 Quality Management Systems and ISO 9001 19650 (BIM) (advantageous), you will hold good interpersonal and communication skills with an ability to form effective working relationships with other individuals, departments and businesses.
Experience in final file / Project handover processes is advantageous.
