Overview
Band 2 data entry clerk to support the Diabetes and Endocrine team. The role is 26 hours per week and will be working in a team alongside two other Data Entry Clerks. The post will involve registering patients onto SystmOne, scanning referrals, putting Consultant clinic lists onto SystmOne, administering waiting lists, entering eye screening reports and supporting administration/medical staff in a range of duties. If successful your role will involve contact with patients, carers and other healthcare professionals. Good communication is key and we are looking for someone who can relate to a range of people and communicate sometimes complex information in an efficient and understandable way in a fast paced environment.
Responsibilities
- Provide comprehensive data entry support to the Consultants, junior medical staff and the wider team.
- Maintain up-to-date patient records on SystmOne; create rotas for clinic lists and scan documentation; check clinic lists from the hospital EPR system and ensure they are entered onto SystmOne and up to date prior to the clinic.
- Deal with enquiries via email and telephone from service users and other healthcare providers; prioritise and manage a diverse workload; maintain confidentiality in line with guidelines.
- Input patient attendance data into SystmOne and enter eye screening reports; ensure patient and GP details are accurate and updated as necessary.
- Sort incoming mail and prepare outgoing mail; label correspondence for scanning into EPR; produce information/routine reports as required.
- Prioritise own workload to meet the needs of patients and Consultants and ensure deadlines are met; provide cover during absence of colleagues; monitor urgent email inboxes and act on queries; undertake other duties appropriate to the grade as delegated by the senior secretary.
Person Specification – Essential Skills & Knowledge
- Good computer skills (Word, Excel, Outlook, PowerPoint); ability to use email and maintain electronic diaries; knowledge of Data Protection and Caldicott Principles with strict confidentiality.
- Excellent verbal and written communication skills; ability to convey information clearly to a wide range of staff, professionals and the public.
- Ability to use own initiative to resolve routine queries and work with minimal supervision following set procedures; ability to organise and prioritise workload to meet deadlines and work as part of a team.
- Commitment to quality patient care and customer service; flexible approach to work and adaptability to change; understanding of medical terminology.
Desirable
- Experience in use of EPR; previous experience with SystmOne.
Special Requirements
- Ability to travel independently across the County to fulfil the requirements of the post.
Qualifications
- Good standard of education; minimum of 3 GCSEs (or equivalent) at C grade or above including English; keyboarding/typing qualification equivalent to RSA 3 / OCR Advanced text/word processing or equivalent proven typing skills/data entry to a high standard (or working towards).
- Desirable: Knowledge of SystmOne.
