Job Description

The Senior Document controller's / Information Manager primary focus is information Management, which ensures the successful delivery of our client requirements throughout all project phases. The role will be based in our Reading office. The ideal candidate will manage all project information, ensuring accuracy, quality, and data integrity while enhancing digital project delivery processes for efficient projects. This role ensures seamless collaboration and communication between Glanua and all other stakeholders. The successful candidate will work within the Glanua digital delivery team to consistently achieve quality deliverables across our project portfolio. They must monitor the quality of information shared on the project CDE, ensuring all deliverables comply with our BEP. They must ensure all project stakeholders align with Glanua 's digital delivery strategy. They will report on non-conformance and offer corrective guidance to the project team.

Primary Duties and Responsibilities
  • Document Management: Maintain our process for efficient information management, tracking all incoming and outgoing project documentation within our cloud-based document management system.
  • Quality Assurance: Ensure all documents meet the company’s quality standards and project requirements.
  • Document Distribution: Distribute information to relevant stakeholders, ensuring timely and accurate notification.
  • Version Control: Manage document revisions and ensure the most current versions are available to the team.
  • Archiving: Archive project documents per the company’s document retention policies.
  • Compliance: Ensure all documentation complies with legal, contractual, and company standards.
  • Information Management / Digital Delivery: Help set up, maintain, and manage the document management platform (CDE) for digital project delivery.
  • Data Integrity: Ensure digital information accuracy, completeness, and consistency.
  • Collaboration: Facilitate collaboration among project teams by managing information workflows and ensuring all relevant parties have access to the necessary data.
  • Training: Provide training and support to project teams on document control procedures and guide best practice digital processes.
  • Standards Compliance: Ensure all activities undertaken on the CDE during project delivery comply with industry standards and project requirements.
  • Reporting: Generate reports on document control and BIM information management activities for the Senior management team and stakeholders.
  • Workflow and Permissions Management: Develop and implement efficient information review and approval workflows.
  • Review Processes: Coordinate and manage the information management review process, ensuring timely feedback and approvals.
