Overview

Ashford and St. Peter's Hospitals NHS Foundation Trust is seeking a Clinical Office Administrator to join the Gynaecology/Obstetrics clinical office. The closing date is 30 September 2025.

The post holder will provide excellent and comprehensive administrative support to the team, liaise with patients, GPs and Clinical staff, and handle enquiries by letter/e-mail and telephone in a busy environment.

We are looking for a confident, enthusiastic and adaptable individual with excellent organisational and communication skills, able to prioritise competing demands and maintain composure in a high workload setting. Flexibility to adapt to changing service needs is essential. Knowledge of Millennium ePR (Cerner), Dictate IT, ERS and Evolve is desirable but training will be provided.

Main duties
  • Provide clerical support to the Clinical Office and assist the Administrative Co-ordinators.
  • Deal with enquiries by letter/fax/email/telephone from patients, GPs, other hospitals and Consultants.
  • Work as part of the administrative team to ensure clinic letters are downloaded, printed and proof read using the transcription service; once approved by clinicians, send them electronically or by post.
  • Sort, distribute and prioritise incoming post, deciding which documents go to consultants or other areas for information or action.
  • Use the Evolve system to manage Electronic Medical Records; prepare documents for scanning and deliver notes to the scanning department.
  • Establish good communication with secretaries, medical staff and other departments/hospitals.
  • Maintain confidentiality at all times.
  • Support the department and organisation by carrying out other duties within the scope of the role as required.
