Job description
Overview

We are recruiting for a proactive Administrator or Coordinator within our Transformation Team. The role supports a team of Project Managers to deliver various improvement projects in cancer services, with the patient experience being at the heart of everything we do.

The successful candidate will have experience in assisting with project documentation, creating agendas and minutes/actions, organising meetings, formatting data and reports, along with other administrative duties, all to a high standard. Main Duties
  • To provide administration support primarily to the Networked Services Transformation Team, across a variety of projects within the Networked Services Division.
  • Supporting the team with project documentation, data analysis and reporting, and administrative duties to a high standard and working to deadlines.
Who are we looking for?
  • A proactive team player with attention to detail, and experience in supporting projects would beneficial. Strong communication skills (written and verbal) are required due to the variety of communication styles, formats and stakeholders involved in our projects.
About the Organisation

The Christie is one of Europe’s leading cancer centres, treating over 60,000 patients a year. We are based in Manchester and serve a population of 3.2 million across Greater Manchester & Cheshire, but as a national specialist around 15% patients are referred to us from other parts of the country.

We provide radiotherapy through one of the largest radiotherapy departments in the world; chemotherapy on site and through 14 other hospitals; highly specialist surgery for complex and rare cancer; and a wide range of support and diagnostic services. We are also an international leader in research, with world first breakthroughs for over 100 years. We run one of the largest early clinical trial units in Europe with over 300 trials every year. Cancer research in Manchester, most of which is undertaken on the Christie site, has been officially ranked the best in the UK.

Responsibilities
  • Schedule and coordinate project meetings, including booking rooms/venues, preparing agendas, taking minutes, and circulating relevant documentation.
  • Support the Transformation Team with the updating and maintaining of project documentation, such as action and decision logs, risk logs and project plans.
  • Utilise systems such as the Patient Administration System and Electronic Patient Record, to gather and analyse data as requested by the Transformation Team to support project delivery.
  • Attend project meetings when required to share information and/or take minutes.
  • Communicate with operational teams within the division and across the Trust to ensure project actions are completed and assist with any queries.
  • Support the Transformation Team with other administrative duties that may arise.
  • Manage and maintain shared folders and document control systems, ensuring version control is upheld.
  • Contribute to the training of new members of staff as required.
  • Be a point of contact for the Transformation Team, dealing with verbal or written enquiries in an effective, respectful and timely manner.
  • Actively contribute to the monthly Transformation Team meeting; participation, discussion, arranging meeting room.
  • Maintain confidentiality and adhere to all relevant data protection and information governance policies.

  • Follow risk management procedures at all times including the identification, assessment and management of risk within the division.
  • To abide by all Trust policies and procedures.
  • To be responsible for own professional/personal development, including participating in ongoing appraisal and personal development planning.
