Job description
Overview

You will be responsible for providing support to the administration team and medical secretaries. Duties will predominantly include retrieving and tracking medical notes, filing documentation to ensure patient’s notes are complete and up to date, and various admin/reception duties as per the job description. The ideal candidate will have a good level of IT skills; knowledge of the NHS computer systems would be advantageous; however, training will be available.

Responsibilities
  • Book all outpatient follow up appointments required for less than six weeks from current appointment.
  • Greet patients who attend all clinic appointments efficiently and courteously.
  • Ensure that all patient information on the electronic patient record (Camis) is up to date and correct by checking the contact details, recording at least 2 telephone numbers at each patient interaction.
  • Answer telephone enquiries in an appropriate manner, dealing with such enquiries within agreed limits and escalate patient concerns where appropriate.
  • Maintain good written and verbal communication with all clinic staff and other staff such as medical secretaries.
  • Liaise with other hospital departments, GPs and other health care professionals.
  • Ensure outcomes are inputted at the end of a patient\'s consultation, escalating where no or inappropriate outcome has been written on the outcome form at the time of appointment.
  • Assist in requesting copies of notes, investigations and results internally and from external healthcare organisations. Assist in the search for missing notes.
  • Provide general administration duties as required by the department. Locate, collect, deliver and prepare clinic notes. Filing.
  • Receive, sort, stamp and distribute post. Photocopying, faxing and posting documentation.
  • Provide cross cover within the administration team during absence and follow relevant organisational policies such as notification of sickness absence and participation in appraisal.
  • Use the electronic patient administration system (Camis) to access patient details, update information and make follow up appointments.
  • Assist in the training of new members of staff.
Other information
  • The post-holder may be required to carry out other duties, as reasonably requested by the line manager.
  • The post-holder will adhere to the duties specified under the NHS Constitution and to the Values of the Trust in day to day work and behaviours.
  • The post-holder will adhere to Professional NHS Code of Conduct and legislation relevant for their area of work and will follow the policies and procedures of the Trust.
  • The post-holder will work to Corporate/Division/Directorate/Department objectives and standards to provide an acceptable level of service.
  • The post-holder will undertake training, including mandatory and role specific training, and ensure it is renewed as required.
