Job description

The purpose of this role is to provide comprehensive support to the efficient operation of the business and excellent service to the clients of the firm in the administrative processes through the careful submission of transactions and documentation with continuing maintenance of investments. This role centralises around providing support to paraplanners and advisers by arranging the completion of necessary instructions, in addition to the end clients. As our Client Services Administrator, you will typically:

  • Maintaining client records on both internal and external platforms
  • Assist in ensuring that all client files are accurate and compliant
  • Organising and pre-populating client documentation for account setups and transactions
  • Processing instructions on behalf of clients, such as creating new accounts, fund switches, withdrawal of income and contributions to client plans, death claims and leavers
  • Calculating performance fees and providing information for Accounts to produce client invoices
  • Monitoring group inboxes and responding to client enquiries
  • Additional administration duties where needed, which may include answering incoming calls, downloading call recordings, and scanning incoming post etc.
  • Adhere to the Company's service levels according to its established procedures.
  • Ability to work with team members and completing tasks standalone
  • Ability to understand processes & document controls
  • Confident in becoming a point of contact for clients and providers in relation to queries
  • Proven efficient administration skills
  • An awareness of the FCA Handbook sufficiently to be able to comply with regulations, relying on their own knowledge or on their ability to recognize when they will need specialist support (desirable).
