Main purpose

Salary: To be negotiated upon experience. Approximate hourly rate: To be confirmed upon experience. Hours: approximately 200-250 for a school year. Contract type: Part time. Reporting to: Headteacher and Chair of Governors.

Role overview

The Clerk to the Governors provides an efficient and professional clerking service to the governing board. The Clerk works closely with the Chair of Governors, Headteacher and other Governors to support the smooth running of the governing board. The Clerk is accountable to the governing board and assists with preparing agendas and meeting papers, taking accurate minutes, providing administrative support, maintaining records and up-to-date information on policies and review dates, and offering procedural and legislative advice to the board. The position is home-based, with attendance required at governor meetings at school and participation in relevant training sessions. There is potential to work on the school site if necessary.

Duties and responsibilities
  • Demonstrate high levels of organisational skill and attention to detail.
  • Be dependable, proactive, efficient and well organised.
  • Have an interest in education and be willing to develop knowledge of education legislation, guidance, and legal requirements.
  • Be an excellent verbal and written communicator.
  • Possess common sense and the ability to work smoothly and harmoniously with others.
  • Be able to work flexibly.
  • Be an experienced administrator (previous clerking experience desirable).
  • Have excellent IT skills.
  • Be committed to maintaining confidentiality.
  • Experience is desirable but not essential as training will be provided.
Meetings

This is a part-time role with all meetings held during term time. Full governing board meetings are usually in the evening starting at 6.30pm; committee meetings occur at varying times, including as early as 8am. Typical meetings include:

  • Six meetings per year for the Full Governing Board
  • Six meetings per year for the Resourcing Committee
  • Six meetings per year for the Curriculum and Progress Committee
  • Six meetings per year for the Children, Families and Communities Committee
  • Additional meetings for Governors’ panel meetings – number varies
  • Additional meetings if required to minute Complaints

The Clerk is also expected to attend all relevant training events and briefings.

The Clerk is paid through payroll for hours worked on a monthly or termly basis. Hours payable include the whole meeting process (emails, calls and agenda preparation, writing up and distributing minutes) and training events. Estimated hours total approximately 200-250 for an academic year.
