Job description

A fantastic opportunity has arisen to join the National Animal Welfare Trust’s team at our Hertfordshire Centre as a Centre Administrator.

You will be working for a charity that never stops caring for its animals and people. We believe every pet deserves a chance to thrive in a loving home. Across our five rescue and rehoming centres across the south of England, we care for homeless and unwanted cats, dogs, rabbits, and guinea pigs - helping them find the families they’ve been waiting for.

Location:NAWT Hertfordshire, Tylers Way, Watford-By-Pass, Watford, Hertfordshire, WD25 8WT

Hours: 24 hours per week, working weekends on a rota basis

Salary:£12.21 per hour

About the role

You will provide a friendly and professional first point of contact for all visitors, callers, and adopters at the rescue and rehoming centre. The Centre Administrator plays a key role in supporting daily administrative operations, maintaining accurate records, and ensuring the smooth and efficient running of a busy reception.

Key Responsibilities
Reception Duties
  • Greet and assist visitors, volunteers, and potential adopters in a warm, welcoming, and professional manner.
  • Handle incoming phone calls, emails, and enquiries, directing them appropriately and providing accurate information.
  • Maintain the reception area, ensuring it is tidy, welcoming, and stocked with relevant literature.
  • Support the processing of adoption and relinquishment enquiries, offering guidance on procedures and next steps.
Administrative Support
  • Maintain up-to-date electronic records of animals and adopters’ details, booking appointments and microchip database management.
  • Assist with the preparation and filing of adoption paperwork, contracts, and other administrative documents.
  • Responsible for end of day cashing up and keeping accurate financial records relating to income and petty cash.
  • Process and record payments and donations, issuing receipts and maintaining financial records.
  • Handle incoming and outgoing post, deliveries, and correspondence.
  • Maintain filing systems and ensuring compliance with data protection regulations (e.g. GDPR).
Communication & Coordination
  • Work closely with the animal care teams, and volunteers to ensure consistent communication and coordinated care.
  • Support with centre communications, such as updating notice boards and assisting with newsletters or social media.
  • Provide general administrative assistance to the Centre Manager or senior staff as required.
Customer Service & Public Engagement
  • Provide a compassionate, informative, and helpful service to members of the public, especially those surrendering or adopting animals.
  • Provide accurate information on adoption procedures, the animals in our care and the work of the centre.
  • Assist with open days, fundraising events, or educational visits as needed.
Person Specification
  • Previous experience in a reception, customer service, or administrative role.
  • Excellent communication and interpersonal skills.
  • Strong organisational skills and attention to detail.
  • Confident using Microsoft Office and basic database systems.
  • Ability to multitask and work under pressure in a busy environment.
  • Ability to remain calm and compassionate when dealing with sensitive or emotional situations.
  • A genuine passion for animal welfare.
  • Willingness to work weekends and public holidays on a rota basis
  • Experience working in a veterinary, rescue, or animal-related environment.
  • Knowledge of animal breeds, welfare standards, or rehoming procedures.
  • Experience using shelter management software (e.g. Patch).
  • Knowledge of rehoming procedures and animal care best practices.
