Job summary

A dynamic aviation company in Kingston upon Thames is seeking a Travel Logistics Manager responsible for managing all aspects of business travel for colleagues and crew. This role requires a minimum of 3 years’ industry experience and offers an opportunity for personal growth as tasks evolve in a fast-paced environment. Candidates must have strong communication skills, excellent IT capability, and the ability to manage travel disruptions effectively.

Qualifications

  • At least 3 years' travel industry experience, with 1 year in aviation.
  • Sound knowledge of English language, both written & spoken.
  • Understanding of Flight Time Limitations and Fatigue Risk Management is preferable.
  • Proven ability to manage unexpected travel disruptions effectively.

Responsibilities

  • Manage travel, hotel and transport requirements through third party travel supplier.
  • Provide timely information on travel arrangements.
  • Ensure compliance with Flight Time Limitations for crew bookings.
  • Respond to travel queries from colleagues.

Role Purpose

Role Purpose:

Responsible for the smooth, efficient and cost-effective management of travel logistics for colleagues and crew, managing and coordinating all aspects of business travel including hotels and transport, ensuring compliance with company policies and delivering a seamless travel experience that supports operational goals.

Key Accountabilities & Responsibilities
  • Manage travel, hotel and transport requirements via third party travel supplier.
  • Provide clear and timely information on travel and booking arrangements for colleagues.
  • Work closely with crewing officers to ensure all bookings for crew are Flight Time Limitations (FTL) compliant.
  • Build strong working relationships with third party travel suppliers and hotel reservations teams, ensuring all suppliers meet SLA’s.
  • Respond to queries and issues raised by colleagues regarding travel arrangements.
  • Monitor complaints and suggestions, working with internal colleagues and external suppliers to implement improvement solutions.
  • Manage invoices in relation to travel, hotel and transport to ensure accuracy, including chasing invoices as required.

  • Must have at least 3 years' travel industry experience with 1 year in aviation.

  • An understanding of applicable regulations with respect to Flight Time Limitations and Fatigue Risk Management would be preferable.
  • Proficient in travel booking platforms.
  • Knowledge of aviation operations and travel logistics.
  • Experience in customer service and negotiations.
  • A proven ability to plan and organise in a fast-moving, ever-changing operational environment.
  • A keen eye for detail and a quick thinker with the ability to resolve travel disruptions, cancellations or emergencies.
  • Excellent communication skills and able to build relationships across teams,
  • High level of IT skills and ability to use different IT software and systems.

Additional information

The post holder will be required to work a shift pattern (4 days on, 4 days off) and be flexible with working hours. This role is office based at our head office in Hampton Wick, near Kingston upon Thames.

This role is a new post in a growing and forward thinking operation, to support a busy team. We anticipate the tasks and remit of this role will evolve over time, which will offer the right candidate opportunity for personal growth and progression.
