Job summary

A prominent festival organization is seeking a BA – Administrative Assistant to support their sponsorship programs. This role involves administrative duties, creating presentations, and assisting with event coordination. A strong candidate will possess organizational skills, advanced Microsoft Office ability, and customer service qualifications. Bilingualism is an asset. The position is hybrid, working both virtually and from the office. Compensation is $704 gross per week, with an application process open to eligible candidates.

About The Role

Position: BA – Administrative Assistant – Bluesfest and CityFolk

Desired Contract Length: 26 Weeks

Start Date: January 19, 2026

End Date: Initial term approved to the Province of Ontario’s current fiscal year end, March 27, 2026. Additional weeks, ending July 24, 2026, is pending the approval of Ottawa Festivals’ fiscal year (2026-2027) JCP program annual agreement.

Work Schedule: Full Time - 4 business days (32 hours per week)

Location: Hybrid: Virtual and Westboro office

Job Summary: The Administration Assistant reports to and works with the Director of Sponsorship and sponsorship team for the sponsorship program at this festival. The Administration Assistant is responsible for assisting with administrative duties, and servicing the festival sponsors.

The Opportunity
Administrative
  • Create PowerPoint/Google Slides presentations
  • Create post event sponsor reports
  • Assist in filling of sponsor assets, i.e. file folders, photos, branded assets etc.
  • Understand customer needs and requirements
  • Assist with festival marketing campaign, promotions/contesting and ensure sponsors are properly represented and integrated
  • Assist with sponsorship executions (advancing activation logistics and operations, branding, signage, tickets, hosting etc.)
  • Work with festival volunteers of the festivals
Day to day
  • Administration duties
Onsite/Event Coordination
  • Assist with sponsorship deal executions
  • Assist with sponsor activations kiosk
  • Provide support to sponsors on site, troubleshoot day to day operations across all sponsorship programs
Skills And Qualifications Required
  • Strong organizational skills and ability to prioritize
  • Advanced Microsoft Office: Excel, Word, PowerPoint and Google Workspace experience
  • High customer service qualifications
  • Excellent verbal and written communication skills
  • Ability to work independently as well as within a team
  • Ability to multi-task, prioritize, and manage time effectively
Attractive Qualities
  • Event management experience, knowledge of Ottawa Bluesfest and CityFolk an asset;
  • Experience in sponsorship/marketing
  • Knowledge of basic principles of marketing and advertising
  • Good judgement, attention to detail, a positive attitude and flexible nature;
  • Post-secondary education in administration, fundraising, community development, marketing an asset;
  • Bilingualism an asset (English & French)
Additional Qualifications Required

Candidate eligibility for JCP is determined according to the following criteria:

  • An unemployed job seeker or those employed less than 20 hours per week.
  • A resident living in Ontario who is legally authorized to work in Canada.
  • Meet at least 1 of the following criteria:
  • Has an established Employment Insurance (EI) benefit period.
  • Previously established an EI benefit period that has ended within the previous 60 months.
  • Paid employee EI premiums (e.g. Box 18 on the T4) in at least 3 of the last 10 years while earnings have been at least $2000 in each of those years.
  • Received the Employment Insurance Emergency Response benefit (CERB) within the previous 60 months.

NOTE: Persons currently enrolled in full-time academic studies are not eligible for consideration. Those who qualify to establish an Employment Insurance (EI) claim must do so prior to being considered for JCP participation.

Remuneration

$704 (gross) per week paid biweekly by the Province of Ontario (average hourly rate: $22.00 based on 4 days/32 hours)
