Job Summary:
The Assistant Project Accountant will be responsible for managing the uploading of invoices into our bespoke system and providing administrative support to the commercial, accounts payable, and accounts receivable teams. This role requires communication skills, a high level of accuracy, and the ability to work efficiently.

Key Responsibilities:

  • Invoice & Delivery Note Management: Ensure all invoices comply with HMRC standards for accuracy, completeness, and regulatory compliance.
  • Match delivery notes against purchase orders and invoices to verify accuracy.
  • Liaise with vendors and suppliers to resolve discrepancies and follow up on missing or incomplete documentation.
  • Upload and process invoices accurately and promptly in the bespoke system.
  • Ensure all invoice data is correctly entered and categorized.

Administrative Support:

  • Monitor delivery schedules and liaise with suppliers to ensure timely receipt of goods and services.
  • Maintain inventory records and support stock reconciliation.
  • Assist the commercial team with document management, filing, and data entry.
  • Support the accounts payable team by tracking invoice approvals and ensuring timely payments.
  • Archive financial documentation in line with company procedures.
  • Act as a point of contact for internal teams and external partners regarding administrative project matters.
  • Respond to routine inquiries and escalate issues as needed.

Technical skills and Competencies:

  • Proficient written and verbal communication.
  • Strong analytical, organizational, and interpersonal abilities.
  • Knowledge of all accounting functions and procedures.
  • Proven ability to plan, prioritise, and manage multiple tasks effectively.
  • Collaborative team player with the ability to contribute meaningfully to project teams.
  • Relevant experience in accounting in construction sector.
