Job Description

Altrad Integrity Services are recruiting for a full-time Administration Support Clerk, based at Seal Sands, Middleborough on a permanent basis. As Administration Support at Altrad Integrity Services, you will responsible for providing administrative support to the business in a professional, timely and cost efficient manner. Ideally you will have proven experience carrying out office administration, accounts and invoicing within a technical/ onsite environment.

Tasks and Responsibilities as Administration Support at Altrad Integrity Services

This role is site based (not hybrid working) and operates in a busy environment where you must have the ability to adapt to the changing workload and priorities within the business, supporting the demands identified by the functional team and managers. The main focus of the position is to collate the teams hours and consumables/equipment costs, carry out the self-billing invoice process and ensure hours are entered correctly for the weekly pay run.

Duties Include But Are Not Limited To
  • Provide administrative support for the business stream
  • Collate the teams hours and consumables/equipment costs
  • Carry out the self-billing invoice process and ensure hours are entered correctly for the weekly pay run
  • Actively participate, promote and ensure company HSEQ polices are not compromised.
  • Ensure that all department personnel information is recorded and is accurate.
  • Liaise with all personnel (Internal & External) to ensure any job specific certifications are received and uploaded onto the internal system to meet core mandatory certificate requirements for the designated role
  • Where applicable follow internal process for engagement of PAYE & Limited Company personnel
  • Follow all purchasing and ordering processes
  • Raise purchase orders and check requests for authorisation.
  • Process expenses requests for authorisation
  • Collate and verify all supporting documentation is correctly coded to support the invoicing process.
  • Respond to all business administration requests from internal and external stakeholders
  • Maintain good working relationship with managers and staff
  • Process all department mail incoming
  • Maintain stationery levels as directed

Confirm receipt of and ensure that administration requests are actioned in a timely manner
