Qualifications

  • Experience in a similar position at a major international corporation in the UAE.
  • Proficient communication with diverse stakeholders across various channels.
  • Familiarity with end-to-end Shared Service Center operations.
  • Ability to operate in an international environment using English; French and Arabic are a plus.
  • Understand complex organizational structures and compliance issues.
  • Basic knowledge of accounting standards and procurement policies.
  • Self-motivated with strong problem-solving abilities.

Description du poste

Joining Dassault Systèmes as our Middle East (UAE, Dubai) Local Admin Point of Contact and Office manager, you will be able to work on several topics.

Your missions
  • Executive Assistant: comprehensive executive support including agenda management, email prioritization with reminders, complete travel coordination with expense tracking and visa/passport administration, and meeting/event preparation.
  • Office Operation: office management responsibilities including facility maintenance orchestration, site assessments, equipment coordination, and license renewals in collaboration with HQ and Public Relationship Officer (PRO) services. The position ensures compliance with internal processes, identifies and escalates gaps as needed, maintains comprehensive document archiving systems (physical and digital), and serves as the company’s representative liaison with the selected PRO for all external administrative requirements.
  • Finance & Accounting: manages all financial documentation and workflows for accounting, tax, and regulatory compliance, ensuring timely and accurate transfer of documents to appropriate teams with proper backup systems. The position handles purchase requests, orders, and invoice verification/submission for Middle East activities in coordination with HQ, while serving as the primary liaison with local suppliers to address any issues or conflicts.
  • Human Resources: serves as the primary point of contact for all HR-related matters including vacation management, salary certificates, and visa coordination in collaboration with local management and PRO. The position supports the complete hiring process with HR and managers, manages newcomer logistics and onboarding, consolidates vacation requests for HQ reporting, and ensures proper Vacation Management System usage while providing team support as needed.
Your qualifications
  • Having occupied a similar position in the UAE, within a major international corporation.
  • High-quality professional interaction with internal and external stakeholders while maintaining consistent availability across multiple communication channels (email, business phone, 3DSwym) throughout working hours.
  • Having already cooperated with a centralized fully integrated end-to-end Shared Service Center organization.
  • Having already experienced an international environment with English as the main working language. French and Arabic ideally as well, but not mandatory.
  • Capable to understand and navigate within a multi-dimensional organizational matrix.
  • Being able to identify issues and problems (in particular with regards to non-compliance, deadlines, etc...), and proactively propose improvement recommendations and solutions.
  • Basics in internal control, accounting, financial fundamentals, tax and accounting standards, procurement policies.
  • Self-starter, autonomy and excellent problem-solving approach.
