A leading digital music notation service in Madrid is seeking a Finance & Executive Assistant. The role combines organizational skills, financial management, and people sensitivity within a creative environment. Responsibilities include preparing payments, issuing invoices, and managing office operations, with a focus on compliance with Spanish regulations. This is a full-time position with flexible hours and a hybrid working model, requiring presence in Barcelona office for 60% of the working days.

Formación

  • At least 2 years of experience as an executive assistant, or in a finance, HR, or legal position.
  • Experience preferably in small or medium enterprises or startups.
  • Familiarity with financial documentation and compliance.

Responsabilidades

  • Prepare payments and maintain organized expense records.
  • Issue client invoices and help automate billing processes.
  • Coordinate office supplies and equipment purchases.
  • Support contract drafting for vendors, collaborators, and hires.

Company Description

My Sheet Music Transcriptions is at the forefront of sheet music and digital music notation services. We’re looking for a Finance & Executive Assistant : someone who combines organizational skills, financial rigor, and people sensitivity with a real understanding of music and creative environments. This is a multidisciplinary strategic and admin role who will be working closely to both our CEO and Operations Manager and helping us manage our finances and documentation, back-office needs, and team support.

Finance
  • prepare payments and maintain organized expense records.
  • Issue client invoices and help automate billing processes.
  • Collect, catalog, and manage all company expense and income documentation.
  • Collaborate with our accounting and tax advisors to ensure compliance with Spanish and EU regulations.
  • Help process refunds and the corresponding credit notes.
  • Help prepare expense forecasts and financial summaries.
Backoffice
  • Coordinate office supplies and equipment purchases.
  • Manage inventory and handle equipment assignments.
  • Organize workspaces and support daily office operations.
  • Assist with calendar management, office attendance schedule, meeting coordination, and travel arrangements.
Documentation & Legal
  • Support contract drafting and signing processes with vendors, collaborators, and new hires.
  • Support contract drafting for particular b2c or b2b situations.
Qualifications
  • A bachelor’s degree (Degree in Business Administration, Economics, Law, or similar is a nice-to-have)
  • At least 2 years of experience in as an executive assistant, or in a finance, HR, or legal position (preferably in SMEs or startups).
  • Excellent written and spoken communication in Catalan, Spanish, and English.
  • Familiarity with Spanish accounting, taxation, and labor frameworks.
  • Experience with Trello, Slack, Google Sheets, Gsuite, Office, and similar tools.
Job Details
  • Full-time position (40 hrs / week)
  • Indefinite contract under Spanish labor law
  • 23 days of PTO + bank holidays
  • Flexible working hours
  • Hybrid work: remote-friendly, but presence in our Terrassa (Barcelona) office will be needed regularly (60% of the days).
