This role involves managing calendars, coordinating complex logistics, and delivering daily briefs. Ideal candidates will have over 5 years as an Executive Assistant, strong communication skills, and the ability to handle pressure. Are you a high-performing Executive Assistant with experience navigating the intensity of a hyper-growth environment? We’re looking for a world-class Executive Assistant to support the C-suite in an international SaaS company based in Barcelona.

We’re looking for a trusted partner to the C-suite: someone who can protect their time, drive execution, handle everything flawlessly, and make complex logistics look effortless.

To find the right candidate, we offer relocation to Barcelona! Otherwise, you can also work from our office in London!

Main Responsibilities
Executive Support
  • Own the C-suite's calendar and email—plan days with strategic intent, maintain balance between leadership, deep work, and personal time
  • Prioritize, triage, and draft email responses; flag key messages and forward to relevant internal stakeholders
  • Anticipate needs, streamline scheduling, and act as a filter for requests and demands
  • Audit and streamline the C-suite's calendar, identifying low-leverage meetings, time blocks for focus, and better prep flows
  • Organize high-level events and off-sites with attention to detail and taste
  • Provide daily briefs and consistent updates on what’s done, what’s pending, and what needs input. Establish a rhythm for daily check-ins and weekly syncs with the C-suite
General Responsibilities
  • Work closely across time zones and coordinate with multiple stakeholders
  • Manage last-minute changes with grace and good judgment
  • Build strong relationships inside and outside the company
Core Skills/Experience
  • 5+ years as an EA, ideally supporting C-levels or founders in high-growth and tech companies
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office tools
  • Calm under pressure: You’re unflappable, solutions-oriented, and emotionally mature
  • You anticipate problems and solve them before they reach the C-suite's radar
  • You thrive with lists, systems, and structure—you are highly organized and disciplined
  • You switch contexts easily and move fast without sacrificing detail
  • Polished communicator: Friendly, concise, and assertive—able to say no with grace
  • Trustworthy & discreet: You’ll be exposed to sensitive personal and business matters
