Role's main objectives:
Support Acai's executive team with execution tasks to enable more strategic focus from the executives.
Design systems and processes to optimize the company's operations.
Responsibilities
Company efficiency:
Create AI tools (e.g., with Lindy.ai) to streamline company processes.
Revenues:
- Create and monitor customer billing processes.
- Follow up on accounts receivable.
- Optimize financial setup to reduce Stripe fees.
Finance:
- Adjust the business plan quarterly based on recent developments.
- Optimize financial setup, create RFPs, and evaluate potential suppliers.
- Identify the best investment instruments and forecast financial outcomes.
- Update current investors quarterly on company progress.
- Engage with prospective investors via newsletters and maintain a fundraising pipeline.
Board of Directors:
- Participate in executive and BOD meetings as applicable.
- Prepare minutes and resolutions for BOD meetings.
- Track follow-up items.
Legal:
- Review legal agreements for clarity and flag issues.
- Coordinate license agreements and NDAs with customers.
- Work with external lawyers on simple agreements.
HR:
- Manage payroll and EOR processes.
- Track hardware and system access.
- Onboard new employees, handle contracts, NDAs, and compensation changes.
- Assist in candidate tracking and scheduling interviews.
- Support company culture initiatives and organize activities.
Accounting:
- Track expenses and coordinate with the bookkeeper.
- Ensure timely payments to suppliers and verify invoices.
- Conduct regular checks on credit card and employee expenses.
- Verify SaaS tool usage within the company.
Compliance:
- Ensure HR systems, banking, EOR, credit cards, and bill payments comply with regulations.
- Manage SOC2 compliance.
- Coordinate with financial system reps when issues arise.
Executive assistance:
- Manage executives' emails, organize and respond when appropriate, and flag time-sensitive matters.
