A yacht coatings company based in Palma de Mallorca is seeking a proactive Administrative Assistant to support the General Manager and Sales Manager. The ideal candidate should have experience in business administration, possess strong organizational skills, and be fluent in English and Spanish. Responsibilities include managing invoicing, document management, and logistics support. This full-time position offers continuous training, a supportive team environment, and compensation based on experience. Medical insurance is also provided.

Formación

  • Experience in business administration, or related field.
  • Previous experience in an administrative or support role.
  • Strong organisational and time management skills.
  • High attention to detail and problem-solving attitude.
  • Advanced knowledge of Microsoft Office Suite and familiarity with Microsoft Dynamics.
  • Fluent in English and Spanish, both written and spoken.
  • Ability to work under pressure in a dynamic, project-based environment.

Responsabilidades

  • Coordinate with the Sales Manager for quote preparation and administrative support.
  • Assist in preparing and sending materials and equipment to projects (including tracking of shipments).
  • Manage work orders and work acceptance documentation.
  • Support the purchasing process for subcontractors and suppliers (PO creation).
  • Help prepare project kits including PPE, gloss readers, uniforms, and other required materials.
  • Provide logistical and documentation support for ITV, cherry picker, and equipment maintenance.
  • Assist in project material and inventory tracking and machine/equipment maintenance schedules.
  • Provide support with travel logistics.
