Your Role

As Office Manager (part-time 70–80%) – Office Operations, Events & Procurement (all genders) you are the operational backbone of our organization. You make sure our office is a place where colleagues can work productively and feel comfortable. You take ownership of your area and enjoy the freedom to actively shape and develop it. In your day-to-day work, you collaborate with different internal and external teams and use modern tools and a contemporary tech stack. With 130+ colleagues from more than 20 nationalities, you play a key role in ensuring that everyone feels welcome and can work effectively at the office.


How You Make an Impact
  • You take responsibility for office operations and administration, ensuring a welcoming environment where colleagues feel supported and comfortable
  • You shape our Cologne office into a welcoming, safe and functional environment (organization, safety, repairs, coordination of external partners such as craftsmen, technicians, office equipment providers)
  • You organize and support events (from workshops and offsites to the Christmas party) to strengthen our team culture
  • You conduct onboarding for new employees in the areas of office & security (access badges, rules & processes)
  • You manage procurement & supplier relations – from hardware and equipment to office services – including asset management (ordering, inventory, disposal)
  • You support the Finance team with travel management, including the organization and handling of business trips
  • You act as an internal contact person and welcome visitors and external partners, making sure they feel at ease from the very first moment
  • You support the management with administrative tasks
  • You contribute ideas to enhance sustainability in office operations
  • You act as internal contact person as well as for suppliers and other external partners

Your Profile
  • You have experience in office management/operations, assistance, service or a commercial environment
  • You work in a structured, independent and reliable way
  • You have a friendly, open personality and strong communication skills, especially in dealing with guests and colleagues
  • You like to take ownership of your topics and strive for continuous improvement
  • You have ideally already worked in a start-up/scale-up and feel comfortable in a fast-paced and dynamic environment
  • You are present in our Cologne office at least 3 days per week (hybrid work possible on remaining days)
  • You have gained basic business knowledge through previous professional experience, vocational training or studies
  • You are fluent in German and English
