Responsibilities
  • Manage and maintain the Vice President’s calendar, appointments, meetings, and travel arrangements
  • Screen and direct incoming calls, emails, and correspondence, respond on behalf of the Vice President when appropriate
  • Prepare reports, presentations, and briefing materials for meetings and events
  • Organize and coordinate meetings, including agenda preparation, minute taking, and follow-ups
  • Handle confidential documents ensuring they remain secure and organized
  • Liaise with internal departments, stakeholders, and external partners on behalf of the Vice President
Qualifications
  • Bachelor’s degree or equivalent work experience preferred
  • Inital experience in an executive or personal assistant role is a plus, but not mandatory
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); knowledge of calendar andscheduling tools
  • Strong organizational and time-management skills with keen attention to detail
  • Fluent verbal and written communication skills in German and English
  • Ability to handle sensitive information with the highest degree of integrity and confidentiality
  • Flexibility and adaptability in a fast-paced environment
  • Team player with a strong hands-on mentality
