Overview

This unique combined position supports student success and the operational excellence in the Faculty of Academic and Career Preparation and the Faculty of Education. The role offers the opportunity to make a meaningful impact on student success while contributing to the smooth operation of academic programs. You\'ll work in a dynamic environment where collaboration, adaptability, and professionalism are key. This position will focus on cultivating and maintaining relationships internally and externally to VIU.

Responsibilities

The role encompasses two key areas:

  1. Volunteer Tutor Assistant - Facilitating a volunteer-based tutoring program to support students\' academic success in the Faculty of Academic and Career Preparation at the Nanaimo and Cowichan campuses.
  2. Program Assistant, Education Programs - Providing administrative and operational support in the Bachelor of Education program.
Volunteer Tutor Assistant Duties
  • Match students with volunteer tutors in core subjects such as Math, English, and Sciences across VIU programming.
  • Facilitate volunteer tutor program through scheduled office hours, online platforms, phone, and email.
  • Recruit and screen volunteer tutors to ensure suitability for the program.
  • Organize tutoring spaces and plan appreciation events for volunteer tutors.
  • Maintain accurate student and tutor documentation, program resources, tracking and reporting, and records.
  • Foster a positive and efficient environment for tutors and students through strong communication and interpersonal skills.
Program Assistant Duties
  • Serve as the first point of contact, responding to inquiries and providing program information to students, faculty, community partners, and the public.
  • In collaboration with the Program Chair and the Dean\'s Office support operational aspects of the Dispersed Teacher Education Program.
  • Handle complex timetabling and scheduling, HR processes, marketing and web support, and financial tasks.
  • Create a positive and efficient environment through strong communication and interpersonal skills while managing interruptions and shifting priorities.
Required Qualifications

One-year office administration certificate, or equivalent, from an appropriately accredited institution, and five years of previous experience in a post-secondary environment. An equivalent combination of education and experience may be considered.

  • Strong organizational and administrative skills, and the ability to manage competing priorities between two departments.
  • Excellent verbal and written communication abilities.
  • Ability to work in a team and/or independently with initiative and sound judgment.
  • Proficiency with office software, online platforms, and web editing.
Preferred Qualifications
  • Knowledge of VIU policies, Faculty of Academic and Career Preparation, and Faculty of Education programs.
  • Experience in Adult Basic Education, English Language Learning and/or experience/education working with students with neurodiversities.
