About the Role

The Talent Acquisition Coordinator, Sales role plays a critical role in supporting the rapid growth of our Sales organization. You’ll be the operational backbone of the recruiting process, ensuring a world‑class candidate experience while keeping the recruiting engine running smoothly and efficiently. This role is perfect for someone who thrives on organization, communication, and collaboration, and who’s eager to grow within a high‑performance, high‑velocity recruiting team.

What You Will Do
  • Coordinate and manage interviews across multiple time zones and stakeholders.
  • Partner with recruiters, hiring managers, and interviewers to deliver a seamless candidate experience from application to offer.
  • Create, distribute, and track offer letters and onboarding documentation for new hires under the Revenue umbrella, such as Sales and Client Success professionals.
  • Maintain ongoing communication with candidates, providing timely updates, feedback, and a personal touch at every stage.
  • Capture, organize, and follow up on interview feedback to ensure prompt and data‑informed hiring decisions.
  • Manage recruiting logistics including job postings, candidate data accuracy in the ATS, and process compliance.
  • Partner with People Operations to support onboarding and new hire integration.
  • Identify and implement process improvements that enhance recruiting efficiency and candidate experience.
  • Support employer branding initiatives for the Sales team, including events, LinkedIn campaigns, and diversity outreach.
  • Act as the central communication hub for the Sales organization on recruiting and people operations processes.
Who You Are
  • 2+ years of recruiting coordination experience, ideally within a high‑growth SaaS environment.
  • Strong communication and time management skills with a proactive and solutions‑oriented approach. Experience with Applicant Tracking Systems such as Ashby is preferred.
  • Excellent attention to detail and the ability to manage multiple priorities at once.
  • A collaborative and adaptable mindset with a passion for creating a positive candidate experience.
Success Outcomes
  • 0-3 Months:
    Learn MaintainX recruiting systems, tools, and workflows.
    Build strong partnerships with recruiters, hiring managers, and Sales leadership.
    Manage interview scheduling with accuracy and professionalism.
    Take ownership of candidate communication and follow‑ups.
    Identify and implement at least one process improvement that enhances efficiency or experience.
  • 3 Months and Beyond:
    Receiving positive feedback from hiring managers and recruiters for reliability and communication.
    Delivering a seamless offer‑to‑onboarding experience for new Sales hires.
    Serve as a trusted recruiting coordination partner to the Sales org.
