SNOW SCHOOL ADMINISTRATIVE ASSISTANT

Position Overview

As part of the Alpine Program Team, this full-time seasonal position provides direct support to the Program Administrator and Snow School Manager. This is the perfect role for a master multi-tasker with excellent organization, communication skills, a love for change and an upbeat, positive attitude. This role will provide member-focused professional assistance via phone, mail and email.

Availability to work weekends and holidays during the winter season to support alpine programs is a must. Candidates must have reliable means of transportation to and from Caledon Ski Club.

Fall : September thru November – Part-time – 3 days per week – 9:00am – 4:00pm. Weekends as needed through the fall.

Winter : December thru April – Full-time – Wednesday thru Sunday – 8:00am – 4:00pm. Including Christmas break, Family Day and March Break.

Duties and Responsibilities

  • Provide general administrative support to the Alpine Program department, ensuring smooth daily operations.
  • Provide administrative support to the Program Administrator and Snow School Manager.
  • Build and maintain relationships with members, guests, and other employees in a friendly, courteous and co-operative manner by fostering a positive and service-oriented atmosphere.
  • Represent Caledon Ski Club to external clubs and organizations
  • Maintain documents related to Alpine programs such as registrations, entries, records, and other relevant data.
  • Provide accurate information to coaches, instructors, athletes and parents as required.
  • Work collaboratively with other departments club-wide.
  • General office duties includes creating and maintaining communications, events, working with Microsoft 365 (excel, word, PowerPoint, SharePoint, teams) Ski Anywhere, Team Up and Team Snap
  • Support programming, coordinating events, staff training, department deposits, and any other tasks as required.
  • Familiarity with skiing or outdoor sports organizations is an asset.

Qualifications

  • Minimum of three (3) years of experience in an administrative support role preferably in a member-based club or hospitality setting.
  • Post-secondary education in business administration or a related field preferred.
  • Excellent organizational and multitasking abilities with strong attention to detail.
  • Ability to perform and communicate in a highly professional and effective manner in a fast-paced environment.
  • Strong communication, both verbal and written, and interpersonal skills to collaborate with multiple departments.
  • Strong Microsoft 365 skills, with experience using SharePoint for document management and workflow collaboration
  • Experience with Ski Anywhere would be an asset.
  • Detail oriented with excellent proofreading skills.
  • Proven ability to work to tight deadlines with strong judgement and decision-making abilities with a high level of critical and logical thinking.
