Overview

An exciting opportunity has arisen for a Receptionist to join our friendly surgery. We are looking for a candidate full of enthusiasm with drive and determination who is ready for a challenge, to join our team of Reception and Administration staff.

Main duties of the job

To be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties can include, but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, the processing of information and assisting patients as required.

To act as the central point of contact for patients, be responsible for the distribution of information, messages and enquiries for the clinical team, liaise with multi-disciplinary team members and external agencies such as secondary care and community service providers.

About us

We are a friendly and committed family practice comprising 2 GP partners, 2 Salaried GPs, a Physician Associate, 2 Practice Nurses, 3 HCAs and a supportive and experienced administration and Reception team.

We have a list size of approximately 6700 patients, we use EMIS Web as our clinic’s system with Docman 10 used for document management. We are also now on PATCHS.

We also form part of the Lytham St Annes Primary Care Network with 4 other Practices.

Job responsibilities

The following are the core responsibilities of the Receptionist. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:

  • Maintain and monitor the practice appointment system
  • Process personal, telephone and e-requests for appointments
  • Answer incoming phone calls, transferring calls or dealing with the caller’s request appropriately
  • Signpost patients to the correct service
  • Initiating contact with and responding to requests from patients, team members and external agencies
  • Code data on the clinical IT system
  • Photocopy documentation as required
  • Data entry of new and temporary registrations and relevant patient information as required
  • Input data into patients’ healthcare records as necessary
  • Direct requests for information, i.e., SAR, insurance/solicitors letters and DVLA forms to the administrative team
  • Manage all queries as necessary in an efficient manner
  • Complete opening and closing procedures in accordance with the duty rota
  • Carry out system searches as requested
  • Maintain a clean, tidy, effective working area at all times
  • Monitor and maintain the reception area and notice boards
  • Support all clinical staff with general tasks as requested
