The Proposal Intake and Submission Coordinator will manage the entire lifecycle of Requests for Proposals (RFPs) intake and submission in a fast-paced, high-volume environment. The role will be supporting multiple stakeholder groups to distribute incoming RFPs and submit proposal responses on a daily basis. In this role, you will get the chance to work with G&PS leadership team and Sales leader to help drive and innovate in process excellence to ensure delivery excellence in a secure and protected environment.

We are currently looking for a Senior Associate to join our Account Management team within the Sales Enablement group that will support the Government and Public Sector industry. This role will be working with another team member as a team to cover coast to coast geographic coverage.

Meaningful work you’ll be part of

As a Proposal Intake and Submission Coordinator at the Senior Associate level, you’ll work as part of a team of problem solvers, helping to solve business issues, deliver high quality client service and operational efficiency. Responsibilities include but are not limited to:

  • Source and identify relevant RFPs through procurement portals and emails
  • Maintain and distribute incoming RFPs to the central list
  • Organise and manage RFP documents and bid status through a centralised process and platform
  • Monitor active bids and distribute communications to the relevant teams on a timely manner
  • Assist teams to facilitate questions and amendments on specific bids
  • Support teams during submission by preparing requirements, providing guidance on formats/templates, and ensuring compliance
  • Ensure final proposals are submitted on a timely and compliant manner based on RFP instructions
  • Collaborate with multiple functional teams to continuously improve processes and communications to ensure experience and delivery

  • Effective communication, coordination, attention to detail, and organisational skills
  • Adaptability to evolving workflows and automation tools
  • Proficiency in Microsoft Suite, Salesforce and email communication
  • Ability to manage large volumes of information and stakeholders
  • Effective project management and documentation management skills
  • Experienced at B2B in a fast-paced, high stress corporate or professional services environment
  • Previous experience with government procurement portals and proposal submission is an asset
  • A proven ability to confidently build and maintain strong relationships at different levels within an organisation
  • Comfortable to work in a multiple stakeholders' collaborative environment
