Project Administrator (18-Month Contract)

Description

You are a highly organized Project Administrator, responsible for supporting multiple telecommunications build programs by managing invoicing cycles, purchase orders, billing data, and required documentation. You play a key role in ensuring accuracy, data integrity, and timely processing across the Drops program and subcontractor billing activities.

You are comfortable working in a high-volume, fast-paced environment, providing administrative and coordination support to internal teams and external build partners. Through your attention to detail, strong organizational skills, and proactive approach, you help maintain efficient, accurate, and well-coordinated project operations.

This is a 18-month full-time fixed term position.

Essential Responsibilities:

  • Monitor program, billing, and purchase order data to ensure accuracy and proactively identify discrepancies or trends requiring attention
  • Manage the full invoicing cycle, ensuring timely, accurate processing and proper documentation
  • Create, issue, and track purchase orders for internal teams and subcontractors
  • Maintain up-to-date billing and PO records across project databases, spreadsheets, and tracking tools
  • Coordinate with subcontractors and build partners to collect and validate required billing documentation
  • Review subcontractor billing packages against scopes, POs, and supporting materials
  • Manage high-volume data entry, reporting, and tracking activities across Drops program streams
  • Maintain logs, dashboards, and reporting tools to support daily operations
  • Prepare project documentation, reports, and status updates
  • Support meeting coordination, scheduling, and project communications
  • Ensure compliance with internal processes and documentation standards

Qualifications:

  • High School Diploma or GED required
  • College, trade, or technical diploma in Administration or related discipline preferred
  • Minimum 2 years of administrative or coordination experience in a high-volume environment
  • Experience with invoicing, billing, and purchase order management
  • Experience working with subcontractors, vendors, or build partners is an asset
  • Strong proficiency in MS Excel and MS Office Suite
  • High attention to detail with excellent accuracy in data entry and document review
  • Ability to interpret billing documentation, purchase orders, and project data
  • Strong communication and customer service skills
  • Proven ability to problem solve and proactively identify errors or risks

Work Conditions:

  • 18-month full-time fixed term position
  • This is a hybrid position where you will be required to work in office 2-3 days per week
  • Some travel will be required to site and/or office locations within Canada

Compensation

$45,600.00 - $62,700.00

This is the expected base pay range for this role. Individual base pay will be determined based on a variety of factors including experience, knowledge, skills, education and location.
