Overview

Location: Toronto, Ontario

Our client is an early-stage AI startup based in Toronto, building a new kind of business software powered by artificial intelligence. Their platform helps companies work smarter by streamlining operations, connecting data, and uncovering insights that normally take months to discover.

We\'re looking for a highly organized and discreet Personal Assistant (PA) to provide day-to-day support to the Founder. You\'ll ensure their personal and professional life runs smoothly - managing logistics, handling tasks big and small, and keeping everything on track.

In this role, you will report directly to the Senior Executive Assistant, collaborating closely to provide seamless support to the Founder. This is a hybrid role based in downtown Toronto, with a mix of in-office, in-home and remote work.

What you\'ll do
  • Founder Support
    • Manage the Founder\'s calendar, appointments, and schedule.
    • Coordinate travel, events, and personal commitments.
    • Assist with correspondence, reminders, and follow-ups.
  • Administrative Support
    • Track expenses, handle invoices, and assist with vendor coordination.
    • Maintain organized documents, files, and records.
    • Support the Senior EA with special projects when needed.
  • Personal & Lifestyle Management
    • Run errands and oversee household logistics as required.
    • Anticipate day-to-day needs and resolve issues before they become problems.
    • Maintain the highest level of confidentiality and discretion.

  • Able to thrive in a fast-paced environment.
  • Working knowledge of Google suite (calendar, gmail, sheets, docs, etc) and other professional tools (ex. Slack, Notion, Monday, etc)
  • Ability to pass a criminal background check.
Nice to Have Skills
  • Existing professional network in hospitality and travel.
  • Hands-on experience using AI tools to create efficiencies.
