Role Overview: We are seeking a proactive, high-level Office Manager to provide comprehensive support to our senior leadership team, specifically the President and General Counsel. The ideal candidate is a master of logistics, a meticulous gatekeeper, and a problem solver who thrives in a dynamic environment. The role is the backbone of executive operations, ensuring internal processes are refined, communication is seamless, and the leadership team remains focused on high-level organizational goals.

Objectives of this Role
  • Executive Support: Primary support for the President and General Counsel, with secondary support for the broader executive team to ensure operational efficiency.
  • Process Optimization: Maintain and refine internal systems and coordinate resources to expedite executive workflows.
  • Communication Liaison: Manage internal and external communications, acting as a professional point of contact for employees and stakeholders.
  • Strategic Planning: Orchestrate daily priorities to ensure organizational goals are met and corporate best practices are upheld.

Responsibilities
  • Calendar & Logistics: Manage complex professional and personal scheduling, including agendas, travel arrangements, accommodations, and transportation.
  • Information Flow: Handle incoming mail, email, and phone calls; manage client interactions and maintain a high-standard filing system and contact database.
  • Administrative Excellence: Provide high-level support including typing, dictation, spreadsheet creation, and database updates for various departments.
  • Facility Coordination: Serve as the primary point of contact for building management and maintenance (submitting service requests, overseeing upkeep, and approving invoices).
Qualifications
  • Experience: 5+ years in an administrative role reporting directly to upper management
  • Communication: Exceptional written and verbal English skills. Proficiency in French is a significant asset.
  • Technical Savvy: Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint) and an aptitude for learning new software.
  • Organization: Superior time-management skills with the ability to juggle multiple concurrent projects without losing sight of the details.
  • Temperament: A flexible team player who remains calm under pressure and is unafraid of evolving challenges.
  • Financial literacy: Experience managing expenses and complex spreadsheets.
  • Familiarity with legal matters specifically relating to real estate.
  • Experience navigating filing systems to retrieve legal or corporate precedents.
