Part‑Time Office Coordinator

You'll be the only coordinator in your hub, working independently with limited oversight. You'll make decisions without constant check‑ins, handle 15+ daily interruptions, and solve problems before they become disruptions.

This role is 70% operations, 30% culture. Operations always come first. Door management, supply inventory, vendor invoices, and budget tracking. These aren’t glamorous, but they’re essential. If you need structure, predictability, or close management, this isn’t the right fit.

You’ll be the operational backbone of your hub office. When you’re doing your job well, teams don’t think about logistics. They can focus on building, collaborating, and moving fast.

Office Operations
  • Keep the office running: supplies stocked, space clean, equipment functional
  • Manage door coverage and visitor experience (expect 15+ daily interruptions)
  • Coordinate weekly lunches, snacks, and beverages
  • Triage office requests through the ticketing system
  • Partner with building management and vendors (last‑minute requests happen, vendors flake, plans change)
Budget & Vendor Management
  • Own monthly budget and vendor relationships
  • Find cost savings without compromising experience
  • Submit accurate budget reports
In‑Office Experience & Events
  • Plan and execute monthly events (20 to 100 people)
  • Support new hire onboarding and welcome
  • Create moments that make in‑office days worth it
Proactive Problem Solving
  • Spot issues before they become problems
  • Build systems that reduce firefighting
  • Bring options, not just problems
AI‑Enabled Operations (Required)
  • Use AI tools to streamline operational workflows (e.g., vendor research, budget tracking, event planning, request triage)
  • Look for opportunities to automate manual tasks and increase operating velocity
  • Deliver at least one AI‑improved workflow within your first quarter that measurably improves office operations

  • Budget and vendor management experience
