We are currently seeking a dynamic and highly organized Office Administrator to join our Scarborough team. This role is pivotal in ensuring smooth office operations, supporting executive-level coordination, and fostering a welcoming environment for all staff and guests.
Responsibilities
- Office Operations & Facilities Support: Oversee daily office operations, including reception duties, mail distribution, and office supply management.
- Manage the main reception line: answer and direct incoming calls.
- Maintain the cleanliness and organization of the main lobby and meeting spaces.
- Work closely with the Maintenance & Facilities Manager to address office maintenance needs.
- Ensure all signage is current and appropriately displayed throughout the office.
- Administrative & Executive Support: Provide administrative support to the Global Executive Assistant, Senior Management, and Leadership Board.
- Assist in coordinating internal meetings, booking rooms, and arranging refreshments.
- Organize travel and accommodation as needed.
- Create, update, and maintain document templates and other administrative resources.
- Handle confidential information with discretion and professionalism.
- Event Coordination & Internal Engagement: Support planning and execution of staff events including Lunch & Learns, team meetings, and annual celebrations.
- Collaborating with the Social Committee to help organize engagement activities.
- Assist in troubleshooting office equipment and facility-related issues.

Qualifications
- Education and Experience: Post-secondary Degree, Diploma, or Certificate in Office Administration or a related field.
- Proven experience in a similar administrative or office coordination role.
- Familiarity with facilities support and office logistics.
- Technical Skills: Proficiency in Microsoft Office Suite (particularly Excel and PowerPoint).
- Experience with phone routing systems and office equipment.
- Strong organizational and time-management abilities.
- Soft Skills: Excellent written and verbal communication skills.
- Creative problem-solving with a proactive and solution-oriented mindset.
- Ability to multitask, prioritize, and work under pressure in a time-sensitive environment.
- Team-oriented, approachable, and dependable with a professional demeanor.
