Medical Office Assistant – Reporting & Transcription
Department: Operations
Reports To: Administration Team Manager
Location: Vancouver Clinic/Hybrid
Work Schedule: Monday – Friday

7.5 hours per day / 37.5 hours per week

Overview:

Supporting the Vision, Values, Purpose and Commitment of Olive Fertility Centre:

Reporting to the Administration Team Manager, the Medical Office Assistant – Reporting & Transcription is pivotal to the organization to ensure concise communication to external medical partners.

Key Areas of Involvement Include:
Transcription and document circulation:
  • Prepare obstetrical ultrasound reports for the Vancouver, Surrey & Victoria clinics.
  • Medical transcription duties. Proof reading and editing consultation and follow-up letters.
  • Ensure all letters are grammatically correct, clinically accurate, and formatted according to clinic and regulatory standards.
  • Handle medical letters efficiently; fax letters out to referring physicians/general practitioners (GP) & upload letters into the appropriate Olive files.
  • Manage the distribution of finalized correspondence to referring physicians and other healthcare offices in a timely manner.
  • Maintain patient confidentiality and adhere to all PHIPA and privacy regulations.
  • Communicate with physicians and clinical staff to clarify dictation or resolve discrepancies.
  • Track and organize outgoing correspondence to ensure all documentation is completed and filed appropriately in the EMR system.
  • Support continuous improvement of transcription processes through feedback and quality control monitoring.
  • Other administrative duties as required.
Qualifications:
Education, Training and Experience:
  • Medical Office Assistant Certificate.
  • Minimum of two (2) years related experience.
  • Previous medical transcription experience is an asset.
  • Previous medical office experience is an asset.
Skills and Abilities:
  • Proficient in medical terminology.
  • Ability to type 60+ words per minute with immaculate accuracy.
  • Positive, friendly, and professional demeanour.
  • Exceptional communication skills, with a particularly strong grasp of English language and grammar.
  • Demonstrated ability to prioritize & multi-task.
  • Proficient with computers and applicable software applications, including EMRs and MS Office.
  • Willing and able to learn new programs and systems.
  • Strong work ethic.
  • Demonstrated ability to work independently and as a member of a multi-disciplinary team.
  • Physical ability to carry out the duties of the position.
