Compensation Range: $6,747.50 – $9,701.42 CAD Monthly. The range reflects base salary; the midpoint represents full job knowledge and qualifications. Employees are typically hired, transferred, or promoted between the minimum and midpoint of the range.

The expected hybrid arrangement is 3 to 4 days in-office per week, depending on peak periods and academic scheduling. The position requires regular travel to Gordon & Leslie Diamond Health Care Centre (DHCC), UBC Life Sciences Centre (LSC), and various hospital locations.

Job Description Summary
As UBC’s MD Undergraduate Program expands and evolves in its approach to educational delivery across the province and within the Vancouver Fraser Medical Program (VFMP), learners must have access to learning and experiential environments for practical skills development. This includes engaging with diverse learners, staff, and faculty across urban, rural, and Indigenous communities.
The VFMP Curriculum Delivery portfolio supports a diverse group of learners, faculty, and staff in aligning best practices in administration and engagement across Years 1–4. This role will foster and champion an innovative engagement and administrative delivery strategy aligned with the Faculty of Medicine Strategic Plan, emphasizing community collaboration, accessibility, continuous improvement, and innovative practice in medical education delivery.
The MD Undergraduate Program (MDUP) is delivered in partnership with UBC Vancouver and Okanagan campuses, the SMP, NMP, and IMP, in collaboration with Health Authorities province-wide.
Responsibilities
- Manage the administration and operationalization of curriculum for Years 1–4 of the VFMP, including Foundations of Medical Practice (MEDD 411, 412, 421, 422), Clerkship (MEDD 431), Electives (MEDD 440), and Transition in to Postgraduate Education (MEDD 448).
- Oversee delivery of lectures, labs, and case-based learning across Years 1–2; manage overall curriculum timelines, central systems, communications, class lists, provincial meetings, and initiatives.
- Lead provincial tasks such as curriculum timelines, central systems, communications, class lists management, and related initiatives.
- Provide administration and support for Clerkship (Year 3) and Electives (Year 4); oversee provincial tasks and interfaces with VFMP sites.
- Direct delivery timelines, team workflows, and human resources for learning activities; foster relationships with curriculum leaders, course directors, and faculty to ensure alignment with partner site activities and accreditation needs.
- Collaborate with Program/Course Managers and Team Leads regionally and province-wide to develop and implement systems, processes, and procedures for the expanded program.
- Supervise and develop Team Leads; conduct performance evaluations and provide ongoing direction and development opportunities.
- Develop and implement a responsive service delivery model and conduct continuous quality improvements for learners, faculty, and partner units.
- Monitor operations and resource utilization to maintain high levels of delivery during peak periods and staff absences; coordinate teaching spaces and facilities as needed.
- Provide faculty support for teaching, payments, appointments, and licensing; build partnerships with local medical providers and community partners.
- Forecast and monitor operational budgets; oversee payments to clinical faculty via TTPS across VFMP.
- Collaborate with Communications and Faculty Development on outreach and events to recruit and retain faculty.
- Develop and implement new policies, procedures, and systems; collaborate with program staff to ensure consistency and efficiency.
- Work with MDUP Systems Team, Digital Solutions, students, and faculty on technology upgrades and process changes (LMS, enterprise systems, scheduling, VC technologies).
- Collaborate on facilities, health and safety, and hospital system access across VFMP; develop reports for internal and external partners as required.
- Oversee course administration, student grades, and records accuracy; ensure data coordination within Workday; collaborate on learner progression reviews and case-management processes.
Organizational Structure
The VFMP Manager, Curriculum Delivery Years 1–4 reports to the Senior Manager, Medical Education, VFMP. The role collaborates with program Course Leads, Associate and Assistant Deans, Student Affairs, and partner-site administrators, including IMP, SMP, and NMP, as well as with Enrolment Services and Accessibility units.

Work Performed
- Provide strategic oversight of Years 1–4 curriculum delivery; plan contingencies and coordinate teaching materials, assessments, and learning activities across VFMP.
- Ensure high-quality teaching spaces, resources, and facilities; identify opportunities for improvement in accessibility and technology.
- Develop service delivery models, monitor outcomes, and implement improvements in collaboration with curriculum leadership and partner sites.
- Recruit, onboard, and supervise team leads; conduct performance evaluations and provide development opportunities.
- Manage budgets and payments to faculty; coordinate with central finance and TTPS systems.
- Build partnerships with VFMP Communications, Faculty Development, and other portfolio managers to support faculty recruitment and retention.
- Lead and implement administrative policies, procedures, and systems; support cross-portfolio collaboration and alignment with strategic goals.
- Adopt and integrate new technologies and systems; coordinate with MDUP Systems Team and stakeholders across campuses.
- Resolve facilities, health and safety, and access issues; produce reports for internal and external QC and accreditation bodies.
- Ensure accurate learner data management in Workday and coordinate with assessment teams for learner progression.
Consequence of Error/Judgement
In this role, errors can affect program delivery, accreditation, and learner outcomes. Accurate, timely information and strong collaboration with faculty and staff are essential. Delays or misinformation can impact learners, commitments, and program finances.
Supervision
Supervision Received: Works independently under general direction from the Senior Manager, Medical Education, VFMP Curriculum Delivery Years 1–4. Maintains a high degree of autonomy and leads a team to support faculty leadership and program goals.
Supervision Given: Responsible for recruiting, hiring, and disciplining team members, including M&P Team Leads, CUPE staff, seasonal staff, and Co-Op students. Provides training and mentorship to achieve program objectives.

- Undergraduate degree in a relevant discipline.
- Minimum of three years of related experience, or the equivalent combination of education and experience.
