Qualifications

  • Bachelor's degree in Engineering, Operations, Data Management, or related technical field preferred.
  • 5+ years in industrial maintenance planning / scheduling in food or manufacturing sector, with hands-on experience in unionized environments.
  • Deep technical knowledge of food industry equipment, maintenance best practices, failure modes, troubleshooting, and RCA.
  • High proficiency in CMMS (Maximo), Oracle ERP, and scheduling tools; MS Office skills.
  • Strong communication, cross-functional collaboration, and stakeholder management abilities.
  • Demonstrate leadership, basic business acumen, and continuous improvement mindset.

Position Summary

The Maintenance Planner & Scheduler is a critical “gatekeeper” of maintenance excellence, responsible for preparing, prioritizing, and scheduling all maintenance and reliability work to achieve the highest levels of asset performance, safety, compliance, and cost efficiency. This role orchestrates the flow of work from inception to completion, enables workforce productivity, and ensures the plant’s equipment operates at best-in-class standards in a complex, unionized, 24/7 food manufacturing environment.

Responsibilities

Work Preparation & Packaging (40%)

  • Diagnose equipment problems and define the required scope, skills, tools, and materials for effective work execution.
  • Prepare detailed work packs, including safety procedures, permits, technical documentation, job steps, and contractor requirements to maximize job efficiency and minimize downtime.
  • Maintain and continuously improve technical files, archives, and feedback records to facilitate future maintenance execution.
  • Provide technical support and troubleshooting guidance to maintenance teams.

Scheduling & Backlog Management (25%)

  • Maintain, prioritize, and manage a clear overview of corrective, preventive, and predictive maintenance backlogs.
  • Develop integrated schedules that balance planned maintenance, sanitation, production priorities, shutdowns, and resource capacity for daily, weekly, monthly and annual cycles.
  • Utilize CMMS (Maximo) and scheduling tools to optimize execution and reduce delays.
  • Proactively track work readiness, access constraints, campaign periods, contractor service intervals, and required trade mixes to ensure timely completion of work.

Continuous Improvement & Performance Analytics (5%)

  • Lead the analysis, reporting, and improvement of KPIs—asset reliability, schedule compliance, work order completion, planning accuracy, cost per asset, and downtime reduction.
  • Participate in and drive continuous improvement initiatives, root cause analyses (RCA), and the implementation / review of PM and predictive maintenance programs.
  • Analyze equipment history, repetitive failures, and maintenance feedback to refine plans and strategies.

Stakeholder Communication & Collaboration (15%)

  • Serve as the principal contact for work requests; maintain clear communication channels with requesters, operators, maintenance teams, contractors, and all stakeholders.
  • Coordinate and facilitate schedule review meetings, campaign planning sessions, and cross-departmental communications to ensure operational alignment.

Compliance & Documentation Control (5%)

  • Ensure maintenance work, documentation, and job planning comply with food safety, GMP, Health & Safety, environmental, security, and internal standards.
  • Maintain accurate records in Maximo and other platforms; ensure regulatory and documentation compliance at all stages.

Resource Optimization & Budget Support (10%)

  • Estimate, track, and optimize the use of all resources—craft labor, specialist services, spare parts, contractors, time, and cost—to deliver efficient project execution.
  • Assist in budget preparation, capital project execution, and ongoing cost control through effective planning and scheduling.
Experience & Education
  • Bachelor’s degree in Engineering, Operations, Data Management, or related technical field preferred.
  • 5+ years in industrial maintenance planning / scheduling in food or manufacturing sector, with hands-on experience in unionized environments.
  • Deep technical knowledge of food industry equipment, maintenance best practices, failure modes, troubleshooting, and RCA.
  • High proficiency in CMMS (Maximo), Oracle ERP, and scheduling tools; MS Office skills.
  • Strong communication, cross-functional collaboration, and stakeholder management abilities.
  • Advanced organizational, analytical, and problem-solving skills; detail-oriented with excellent prioritization.
  • Mastery of maintenance planning, scheduling, work packaging, and backlog management.
  • Ability to read and interpret technical documentation, drawings, and manuals.
  • Resourceful in managing multiple priorities in a fast-paced, change-intensive setting.
  • Demonstrate leadership, basic business acumen, and continuous improvement mindset.
  • Composed under pressure, with a strong focus on safety, compliance, and quality execution.
