The Role

Facilitates the procurement, identification, tracking and management of all IT hardware and software assets to support business needs and cybersecurity requirements.

Responsibilities

Asset Management & Budget Coordination

  • Perform Asset Renewals (all hardware and software assets across MDA with focus on Satellite Systems)
  • Review Maintenance Contracts to ensure they remain relevant and appropriate for the needs of the business
  • Identify new vendors for IT assets and services
  • Support Management of the Software Catalog
  • Collaborate with Procurement staff (Buyers) to create RFAs, Requisitions, and Ad Hoc purchases (Amazon / Dell)
  • Work within IAITAM best practice processes, identify gaps in current process, identify opportunities for automation/improvement and implement new processes and procedures
  • Support roll out and development of IT Service Management tool (for management of IT assets)
  • Plan, manage, and coordinate hardware and software asset renewals and upgrades
  • Manage Software subscriptions, maintenance (On Prem, SaaS, etc.) to ensure we remain in compliance with licensing
  • Maintain vendor relationships and ensure vendors are meeting contractual obligations
  • Process hardware maintenance procurement and renewals
  • Provide input to / support renewal forecast meetings (across all BUs and Corporate but emphasis on SatSys)
  • Initiate software audit process completion as part of asset renewals
  • Define and Report on metrics for synergies, cost savings, cost avoidance
  • Prepare Purchase Requisitions for hardware/software acquisitions
  • Prepare, process and track Request for Acquisition (RFA) for hardware and software capital acquisitions
  • Contribute to IT AOP Submissions

Asset Tracking & Compliance

  • Contribute to ownership of Asset Management Process
  • Develop and implement a process for lifecycle management of IT assets, from procurement to disposal
  • Ensure IT assets are properly maintained, upgraded, and replaced as needed
  • Support Cellular tracking (focus on SatSys) – Purchases / upgrades
  • Maintain inventory in AM (ManageEngine - orbIT - application)
  • Participate in Software License Management
  • Maintain Physical Asset Inventory Control for SatSys – Coordinate EOL hardware replacements
  • Facilitate New Hire purchases
  • Manage Requests for Software (allocate licenses, etc.)
  • Assist with Internal and External Audits (hardware/software)
  • Provide purchase information for external audits and conduct Internal Audits (hardware/software)
  • Stay up-to-date with regulatory requirements and industry standards for IT asset management
  • Identify and mitigate risks related to IT asset management, such as breach or non-conformity
  • Drive CITAM best practice processes and process standardization across all BU’s and Corporate (SatSys)
  • Coordinate standard process for BU asset tracking / physical asset inventory control
  • Manage Requests for Software (license keys, termination/license harvesting, SaaS users)
  • Support Software License Compliance

Special Projects

  • Participate in IT asset rationalization, consolidation, or migration to cloud-based services.

Minimum Qualifications

  • A diploma in business or business management from a college, polytechnic institute or university is required; a bachelor's degree in the same field is an asset
  • 2–4 years of relevant experience in IT asset management or a combination of other pertinent education/experience
  • Knowledge of French and English is essential (spoken and written)

International Association of Information Technology Asset Managers certifications:

  • CSAM – Certified Software Asset Manager
  • CHAMP – Certified Hardware Asset Management Professional
  • CITAM – Certified IT Asset Manager
  • ITAD – IT Asset Disposal

Special Considerations

Successful candidates must obtain and hold security clearance at the Reliability status level, and pass security assessment for the Controlled Goods Program (CGP), and be able to obtain higher clearances.
