Job Description And Responsibilities

The incumbent is responsible for filling staffing needs to meet weekly and daily production, maintenance, quality, and logistics requirements. In collaboration with the Training Coordinator and production supervisors, they will participate in planning, organizing, and monitoring training and qualifications for unionized staff.

They are also responsible for closing the weekly timesheet process for unionized employees, collaborating with the Human Resources department, and managing daily and weekly timesheet management. Maintaining professional contact with unionized staff and the management team is essential.

Specific Duties
  • Create and manage the bi-weekly schedule for unionized employees, ensuring optimal coverage for each shift;
  • Process, verify, and close all timesheets in a timely manner;
  • Understand and apply all current collective agreements;
  • Create and manage vacation schedules for all unionized and non-unionized employees;
  • Monitor the time and attendance system in ADP daily and weekly;
  • Collaborate with the Training Coordinator to monitor the training plan, maintain the skills matrix, and update unionized employees' training files;
  • Manage HR-related documents: opening and modifying files, leave requests, vacation changes, etc.;
  • Provide weekly availability for communication with various shifts;
  • Maintain effective communication with supervisors, managers, employees, and union representatives;
  • Participate in new staff integration: monitor training, update files, coordinate equipment (boots, uniforms, PPE, etc.);
  • Perform other HR-related tasks as needed.
Education

DEC in administration or human resources, or a related field.

Requirements
  • Bilingual: French and English;
  • Strong teamwork, confidentiality, and interpersonal skills;
  • Resourceful and autonomous, able to work with minimal supervision;
  • Proficient in Microsoft Office (Excel, PowerPoint, Word);
  • 2 to 5 years of experience in a related position such as HR administrative officer or scheduler;
  • Payroll experience is an asset.

Position Details
  • 40 hours/week;
  • Flexible schedule: Mondays 6 a.m. to 2:30 p.m., other days 7:30 a.m. to 4 p.m., with some days 9 a.m. to 5:30 p.m.; must overlap with night shift (7 p.m. to 7 a.m.);
  • In person at the Lachine factory: 1125 50e ave Lachine H8T 3P3, with occasional work from home.
