Position Summary

Reporting to the Human Resources Supervisor, the incumbent is responsible for the administration and coordination of human resources activities. They handle the operational and transactional management of HR files throughout the employee and research trainee (student) lifecycle, ensuring the delivery of high-quality service to employees and internal partners. This position is ideal for a structured, service-oriented individual who wishes to work in a dynamic HR environment, with exposure to a variety of processes.

General Duties
  • HR Administration and Employee Lifecycle
    • Create, update, and maintain employee and research trainee (student) records in the Human Resources Information System (HRIS), including hires, terminations, status changes, salary, job title, cost center, etc.
    • Manage certain leaves of absence, such as QPIP leave and unpaid leave, including tracking requests and updating employee records.
    • Ensure accurate maintenance of electronic employee files, including scanning and archiving documents.
    • Prepare employment verification letters, insurance certificates, and other administrative documents.
    • Complete and follow up on various forms related to pension plans.
    • Manage the administration of group insurance plans, including employee enrollment, coverage changes, and responding to inquiries.
  • Support for Employees and Internal Partners
    • Respond to inquiries from employees, research trainees, managers, and researchers regarding payroll, benefits, volunteers, HR policies and procedures, training, and required documentation.
    • Follow up with researchers, delegates, employees, and trainees to ensure compliance and the completeness of files.
  • Payroll and Reporting
    • Work closely with the Payroll Department to provide information, validate hours worked, and review overtime.
    • Assist the Payroll Department in correcting manual or system-related errors.
    • Generate and analyze HR and payroll reports for administrative and monitoring purposes.
  • Continuous Improvement and Projects
    • Participate in cross-functional HR projects aimed at improving processes, the employee experience, or HR tools.
    • Perform any other related tasks or attend meetings as required by the division.
Education / Experience

Education: Diploma of College Studies (DEC). AEC or DEC in a related field (e.g., Accounting and Management Techniques – HR profile, or Human Resources Management Support).

  • Minimum of three (3) years of relevant experience in an HR coordination or support role.
  • Experience with a payroll system and/or a Human Resources Information System (HRIS).

  • Bilingualism required (excellent command of both French and English, written and spoken)

  • Strong organizational skills, ability to manage multiple priorities, and meet deadlines

  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Access is an asset)
Additional information
  • Status: Full-time
  • Pay Scale: $44,408.00 - $82,427.80. Commensurate with education & work experience
  • Work Arrangement: Hybrid – 2 days per week on-site
  • Work Shift: 35-hour workweek, Monday to Friday
  • Work Site: Downtown Montreal (2155 Guy Street)
