Role Summary
As the Physiotherapy Coordinator, you will be the operational backbone of our growing team of 50+ physiotherapists. This role involves overseeing patient intake, clinician matching, billing, payroll processing, and administrative systems. You will act as a critical liaison between therapists, administrative staff, and partner organizations to ensure seamless delivery of care.
Key Responsibilities
- Manage day-to-day clinician support and scheduling logistics
- Coordinate patient triage and intake through our two-way matching system
- Liaise with referring physicians, partner organizations, and billing staff
- Support onboarding of new physiotherapists (intake forms, access, orientation)
- Monitor caseload distribution and optimize travel tier allocation
- Handle urgent scheduling adjustments and general clinical coordination
- Administer billing processes through Jane App and HCAI for MVA, WSIB, and private pay
- Oversee bi-weekly payroll for physiotherapists and administrative staff
- Maintain compliance with PHIPA and College of Physiotherapists of Ontario standards
- Use digital tools (Slack, Google Workspace, Typeform, Jane App) for communication and coordination
- Help foster a collaborative, supportive team environment
Qualifications
- Experience in healthcare administration, physiotherapy coordination, or a related field
- Familiarity with billing procedures (HCAI, Jane App, WSIB, private insurance)
- Experience handling payroll (knowledge of CRA remittance or contractor invoicing an asset)
- Strong organizational, communication, and problem-solving skills
- Proficiency with digital platforms: Google Suite, Slack, Jane App
- Knowledge of PHIPA, privacy compliance, and College regulations
- Bonus: Clinical background (PTA, OT assistant) or experience with community/homecare coordination
Working Conditions
- Mostly remote, with occasional in-person onboarding meetings
- Flexible hours, availability expected Monday–Friday during core hours
- Must be based in Ontario
