ERCO Worldwide is looking for a Front Desk and Office Coordinator to join our Corporate team! The Front Desk and Office Coordinator will be a brand ambassador and the first point of contact for ERCO Worldwide at the Corporate Office and over other channels of communication. The position holder will provide exceptional customer service to everyone they interact with. Managing the front-desk in-person on a daily basis (M-F), the individual will be responsible for office administration, mail and courier shipping, coordinating events, vendor liaison, invoice processing and other administrative duties as assigned.

The Role:

Reception Duties:

  • Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately.
  • Carrying out safety orientations with all visitors to the office. Acting as ERCO's Emergency Contact with the landlord, Triovest.
  • Professionally respond to all incoming calls, emails or enquiries and triage to the appropriate department

Office Supplies Management:

  • Responsible for ordering and managing office supplies inventory, which will require lifting between 5 kg and 10 kgs.
  • Acting as back up for shipments of spare parts.
  • Conduct routine cleanliness checks of common areas (lunchroom, washroom, hallways, meeting rooms etc.), ensuring housekeeping standards are maintained.
  • Maintain common kitchen area and unloading dishwashers on each floor. Supporting department leaders with catering requirements upon request and ensuring the correct cost centres are given to Finance.

Facilities Management:

  • Organizing, distributing, and collecting mail and courier shipments daily (outbound and inbound) through the building mailroom.
  • Maintaining office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
  • Liaising with vendors and processing invoices.

Other Duties:

  • Maintain filing systems and assist with scheduling meetings.
  • Responsible for the control, maintenance, and management of all communications for the on-floor staff information screens throughout the two floors.
  • Performing other administrative duties such as filing, photocopying, transcribing, and faxing.

The Person:

  • A College Diploma in Business or a related field is required, a Bachelor’s degree in Business or a related field is preferred.
  • 1-3 years proven work experience in Customer Service or front-desk duties.
  • Proficiency in Microsoft Office Suite.
  • Solid written and verbal communication skills.
  • Accuracy and attention to detail.
  • Ability to plan, prioritize and manage time.
  • Ability to work in a fast-paced demanding environment and manage multiple priorities.
