Overview

Landform is a landscape construction company delivering complex projects across multiple active sites. As we grow, we’re looking for an Operations Coordinator who thrives on organization, scheduling, and constant communication — someone who can confidently coordinate people, equipment, and priorities in a fast-moving environment.

This role is best suited to a high-capacity scheduler / administrator who is comfortable working with many personalities, speaking up in meetings, and keeping operations aligned even when plans change. This role is expected to grow over time, with increased responsibility as the individual demonstrates capability.

Day-to-Day Focus

You will meet regularly with field leadership (foremen and supervisors) to review project estimates, assess actual production on site, and adjust project Gantt schedules accordingly. Your work ensures that field teams always have a schedule they can trust, built and maintained in Gantter. You will then update the B2W master schedule to accurately reflect the dispatch of labor and equipment required to keep projects running efficiently.

You will be responsible for maintaining standards of excellence, following work through to the end, and ensuring schedules reflect reality, not intentions. What You’ll Do
  • Act as the right hand to the Operations Manager, supporting day-to-day operational planning and coordination.
  • Own and maintain the master schedule in B2W, coordinating labor, fleet, and equipment across multiple active projects.
  • Work directly with supervisors and foremen to build, update, and adjust project schedules using Gantt tools.
  • Track job progress, resources, and constraints using B2W and supporting scheduling tools.
  • Coordinate labor, equipment, and material needs to ensure efficient deployment.
  • Facilitate daily huddles and scheduling conversations with field leadership.
  • Serve as a primary point of contact between the office and the field.
  • Track equipment usage and rentals for accuracy and accountability.
  • Identify scheduling conflicts early and help resolve them before they impact production.
  • Contribute to improving operational systems, checklists, and workflows.
What Success Looks Like (First 3–6 Months)
  • Project Gantt schedules accurately reflect real-world production and are trusted by field teams.
  • The B2W master schedule is current, reliable, and supports effective dispatch of people and equipment.
  • Equipment and labor conflicts are identified early, not discovered in the field.
  • Communication between office and field is smoother, faster, and more direct.
You’re Likely a Fit If You
  • Have completed post-secondary education; a bachelor’s degree is considered a strong asset.
  • Have 2–4 years’ experience in operations coordination, scheduling, or project administration.
  • Are highly organized and comfortable managing a large volume of moving parts.
  • Are confident communicating with supervisors, foremen, and leadership.
  • Can speak up, ask questions, and coordinate competing priorities.
  • Are tech-savvy and adaptable (B2W, Gantter, Google Suite, Excel).

This role is not a fit if you prefer minimal interaction, avoid assertive communication, or are uncomfortable coordinating with many different people daily.
