Our client is looking for a Facilities Coordinator to keep their leased and owned properties running smoothly. You will be the go-to person for building operations, vendor management, and health & safety compliance. You will act as the bridge between their internal teams, landlords, and external service providers to ensure our environments are safe, compliant, and optimized for our staff.

This is a full-time, hybrid, permanent position.

Their office is downtown Toronto but they have sites across the GTA.

They are offering between $50,000-55,000 annually, paid vacation and sick days, as well as benefits.

Responsibilities
  • Operations & Maintenance: Coordinate routine and urgent repairs, conduct regular site walkthroughs, and ensure all spaces meet cleanliness and service standards.
  • Vendor & Landlord Management: Act as the primary liaison for landlords and service providers. Schedule contractors, verify work quality, and ensure lease obligations are met.
  • Health & Safety: Champion workplace safety by maintaining compliance records, organizing fire drills, inspecting equipment, and promptly addressing hazards.
  • Space & Logistics: Support office moves, furniture installation, and manage access controls (keys, fobs, security protocols).
  • Administrative Support: Track facility expenses, reconcile invoices, maintain maintenance logs, and assist with budget planning.
Qualifications
  • Experience: 3+ years in facilities coordination, property maintenance, or office administration. Experience with multi-site coordination is a strong asset.
  • Education: A diploma or certification in Facilities Management, Building Ops, or a related field is preferred.
  • Skills: You are tech-savvy (Proficient in MS Office), highly organized, and an excellent communicator with a customer-service mindset.
  • Knowledge: You have a working knowledge of Occupational Health & Safety regulations.
Work Requirements
  • A valid driver’s license is required to travel between multiple locations.
  • Ability to lift or move equipment/furniture occasionally.
