Job Posting: Executive & Personal Assistant to the Vice President of Construction

Location: North Vancouver

Position Type: Full-Time

About the Role

We are seeking a highly organized and proactive Executive & Personal Assistant to support the Vice President of Construction in both professional and personal capacities as well as day-to-day operations. This hybrid role will include executive and personal assistance as well as project administration duties. The ideal candidate is resourceful detail-oriented and thrives in a fast-moving environment where priorities can shift quickly.

Key Responsibilities
  • Provide executive-level administrative support to the VP Construction including managing calendars scheduling meetings and preparing correspondence.
  • Handle travel arrangements expense reports and document organization.
  • Manage personal errands appointments and household-related tasks to ensure smooth day-to-day operations.
  • Act as the point of contact between the VP Construction and internal / external stakeholders.
  • Assist with project-related tasks such as reviewing documents monthly invoicing / reporting and tracking deadlines.
  • Liaise with subcontractors vendors and clients on behalf of the VP Construction.
  • Support project managers with scheduling procurement and documentation as needed.
  • Maintain confidentiality and professionalism at all times.
Qualifications
  • Previous experience as an executive assistant administrative assistant or similar role (construction or related industry experience is an asset).
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication.
  • Proficiency with Microsoft Office Suite Outlook Adobe and other productivity tools.
  • Ability to work independently prioritize effectively and adapt to changing priorities.
  • Demonstrate the capacity to interact with high-pressure or demanding personalities while upholding discretion and professionalism.
  • Valid drivers license and reliable transportation.
