Overview

Position Summary: If you are eager to work in a team-based organization that expects employees to exercise critical thinking, make reasonable decisions and build organizational capabilities, then you are who we are looking for. The Executive Assistant to the CAO provides high-level administrative support to the CAO and senior management team. This role serves as the primary point of contact for the Office of the CAO and is responsible for coordinating a wide range of executive and administrative functions.

Primary Responsibilities
  • Handles work of a highly confidential nature, performs administrative, secretarial and clerical support.
  • Performs research and support services for the CAO and senior management as assigned.
  • Compiles information and highlights issues and deadlines as required to promote smooth operations of the CAO office.
  • Reviews Council and Committee agendas, minutes, correspondences and identifies action items to ensure priorities are met.
  • Takes minutes at meetings and follows up on action items.
  • Prioritize the Office of the CAOs workload and prepares schedules/itinerary which includes processing all incoming invitations and schedules participation in special events with respective organizations.
  • Interacts and maintains effective working relationships with the public, members of Council, provincial and federal politicians, media, senior management and staff and public on a daily basis, in person, by phone and email as required.
  • Able to recognize and respect the importance of confidentiality and routinely exercises discretion, tact and courtesy as required to provide overall assistance to all departmental functions.
  • Monitors budget submissions and submit expenses on behalf of the CAO to meet financial compliance.
  • Organizes, files, and maintains records in accordance with municipal policies and retention schedules.
  • Uses digital tools and software to manage correspondence, scheduling, and document preparation.
  • Prepares and edits correspondence, reports, and presentations for the CAO.
  • Assist in preparation and scheduling of various appointments/meetings for the CAO and/or Warden as directed.
  • Maintain weekly attendance and payroll compliance.
  • Arrange and prepare Agendas for meetings. Perform other secretarial and clerical functions as directed by the CAO’s office.
  • Uses sound judgement and always maintains discretion and confidentiality.
  • Provide coverage for front desk reception as required. Able to monitor security cameras and use panic button to call for assistance as required.
  • Set up and clean up for meetings as required.
  • Other duties as assigned by Manager.
  • Ensure that Occupational Health and Safety practices and County of Perth policies and procedures are adhered to; wear any personal protective equipment required to ensure personal safety and report any known hazards and/or incidents in the workplace to immediate Supervisor.
Qualifications
  • College diploma in Business studies (2 year) or equivalency through a combination of skill-specific training and education.
  • Minimum 3 years’ experience working in an executive or senior administrative role.
  • Knowledge of scheduling software applications, including Microsoft Windows, Microsoft Office Suite.
  • Excellent office management skills, including calendaring, time management skills and the ability to meet critical and irregular deadlines.
  • Advanced knowledge of WebEx/Zoom/Microsoft Teams is an asset.
  • High level of interpersonal, communication and customer relations skills.
  • Ability to take initiative to prioritize workload, meet deadlines, be detail oriented and accurate.
  • Ability to maintain a high level of confidentiality.
Details
  • Shift: Monday to Friday, 8:30 am to 4:30 pm (35 hours per week)
  • Salary Range: $70,543.20-$82,518.80 (based on Perth County’s 2025 salary grid).
