Overview
Executive Assistant to CEO (Nova Scotia Independent Energy System Operator, NSIESO) – Halifax, Nova Scotia. Base pay range: CA$60,000.00 / yr - CA$75,000.00 / yr. This role reports to the CEO and supports the Senior Team and the Board of Directors.
The Nova Scotia Independent Energy System Operator (NSIESO) is a new, independent non-profit organization established in 2024 to plan and operate Nova Scotia's bulk electricity system. NSIESO will manage the connection of clean energy projects to the grid, system planning, and procurement of new energy sources, and will eventually determine which power generation facilities are used to meet electricity demands across the province.
About the role
The Executive Assistant will report to the CEO and play a key role during startup, transition, and full operations. The Executive Assistant will provide high-level administrative and operational support to the CEO, Senior Team, and the Board of Directors, acting as a liaison between the CEO, board members, partners, leaders, staff, and other stakeholders to ensure effective communication and smooth administration.
Responsibilities
- Executive Administrative Support to the CEO: manage and prioritize the CEO’s schedule, meetings, travel arrangements, and time management; assist with high-priority projects and deliverables; manage confidential information with discretion; function as gatekeeper for the CEO and senior team; maintain the senior leadership team’s calendar; manage communications and draft / edit emails, correspondence, reports, and other communications; organize and coordinate CEO-sponsored meetings, conferences, and events; complete and submit expense reports.
- Administration Support to Board of Directors and Board Committees: support meeting preparation and timelines, coordinate meetings, distribute agendas and materials, maintain meeting schedules and logistics, arrange travel as needed, accurately record and distribute minutes, onboard new board members, and maintain contact information; assist Chairs with administrative tasks.
- Office Operations and Administration: oversee daily office operations, arrange internal and external events, manage filing systems, identify process improvements, and implement efficient administrative systems; perform other duties as required during NSIESO’s transition.
Skills and qualifications
- Grade 12 or equivalent; post-secondary education (diploma / certificate / degree) or combination of experience and education is an asset.
- Minimum 7–10 years of progressively responsible administrative experience supporting senior leaders, including the CEO; minimum 1 year supporting Board administration is an asset.
- Excellent attention to detail, highly organized, strong time management, and ability to coordinate multiple schedules.
- Strong interpersonal skills to engage with a variety of stakeholders professionally and with integrity.
- Ability to learn quickly and implement continuous improvement opportunities; capable of working in a fast-paced, team-focused environment.
- Experience creating reports, minutes, briefing notes, and / or presentations; experience with document management for confidential information.
- Advanced proficiency with Word, Excel, PowerPoint, SharePoint, Outlook, and Teams; 100% fluency in written and spoken English.
- Eligibility: Canadian citizen or permanent resident.

- This is a permanent, full-time position located in Halifax, NS. A physical presence in the NSIESO office is typically expected; flexible arrangements may be considered.
