Overview

Position Description: SIM Canada is searching for a full-time Executive Assistant (EA) to provide high-level administrative support to the Executive Director. The role involves performing various administrative tasks to ensure efficient operations from the Executive Director's desk. The EA’s duties include being the first point of contact, via phone or in person, for the building.

Organizational Overview

SIM Canada is part of an international, interdenominational, evangelical mission with over 4, workers serving in more than 70 countries around the world. Responsibilities
  • Calendar Management: Maintain and manage the Executive Director’s calendar, including scheduling meetings, appointments and travel arrangements.
  • Communications: Screen and respond to phone calls, emails and other correspondence on behalf of the Executive Director when appropriate. Draft and edit communications when required.
  • Administrative Tasks: Perform general administrative duties for the Executive Director when required. This includes, but is not limited to, filing, copying, scanning, and other clerical functions as needed.
  • Travel Arrangements: Arrange detailed travel plans, itineraries, and compile documents required for travel.
  • Confidentiality: Handle sensitive information with the highest level of discretion and confidentiality.
  • Liaison: Act as a liaison between the Executive Director and other SIM Canada Administration Team, Members and external partners.
  • Other Duties: Perform other tasks / duties as identified by the Executive Director.
  • Front Desk / Reception: Along with high-level administrative support to the Executive Director, the EA performs the following duties to ensure that the front desk is a welcoming reception for visitors to the office building. These duties include: Answering phones and operating the switchboard, routing calls to specific people/organizations, and taking and relaying messages accordingly. Greet visitors warmly and call the person(s) waiting for the visitor so they can greet them and take them to their meeting room. Have visitors sign in and give them a visitor’s badge. Collect and distribute mail and parcels.
Qualifications

  • Variable education in the related fields, and/or proven related experience.
  • Appreciate and have a passion for global missions.
  • Minimum two years of experience as a support staff in an office or para-church environment.
  • Self-motivated professional with good communication and interpersonal skills, who can collaborate well with various departments.
  • Good proficiency and experience with Microsoft Office Suite (Word, Excel, PowerPoint, Teams, Outlook), Zoom, Adobe, Calendar Managing Apps like TripIt.
  • Strong organizational and time management skills.
  • Ability to prioritize and work on several tasks at the same time.
  • Problem-solving and critical thinking skills.
  • Strong attention to detail and problem-solving abilities.
  • Willing to take initiative.
  • Can work with distractions and disruptions.
  • Must have administration or executive assistant experience.

Pay scale is $21.50 - $23.50 per hour. All Members of the National Office are expected to be involved in the following: Attend Daily Prayer Chapels (8:30 AM – 9:00 AM).
