Responsibilities
- Manage complex calendars across time zones; anticipate needs, resolve scheduling conflicts, and strategically prioritize engagements.
- Prepare executives for meetings with briefing notes, contextual background, and relevant talking points.
- Draft communications, presentations, and documentation on behalf of executives as needed.
- Attend team meetings, take high-quality notes with key decisions and actions, and follow through on assignments.
- Adept at anticipating executive needs and proactively planning several steps ahead to ensure seamless operations.
Operational Efficiency & Communication
- Coordinate international/domestic travel and expenses with precision and cost-efficiency.
- Facilitate seamless internal and external communications, ensuring timely follow-ups and message clarity.
- Serve as a professional representative of the SVP/VP to senior leaders, clients, and partners.
- Monitor operational rhythms and support team activities, all-hands, and offsites—bringing structure and follow-through to engagement moments.
- Support regular cadence of business processes like budgets, performance, surveys and more.
AI-Enabled Workflow Improvement
- Use and experiment with AI tools (e.g., ChatGPT, Microsoft Copilot…) to streamline repetitive tasks, summarize information, and improve day-to-day productivity.
- Identify and implement smart workflows and automations to elevate executive capacity and team communication.
Team Engagement & Organizational Support
- Support leadership team coordination and help foster a connected, informed, and motivated team culture.
- Jump in on team initiatives, operational projects, or internal communications where appropriate.
- Maintain confidentiality and discretion with highly sensitive information related to company strategy, personnel, and vendor relations.
