The Opportunity

Are you a self-driven and passionate individual? AgeCare is looking for a dynamic person to join our team as an Executive Assistant. The Executive Assistant provides high-level executive support to the Chief Executive Officer, Chief Financial Officer and Vice President of Finance. The Executive Assistant performs, coordinates, and oversees office administrative duties while providing an extensive level of support to leadership. This role requires a highly organized, detail-oriented, and proactive individual who can manage multiple tasks and priorities with ease. The Executive Assistant possesses a high degree of initiative and is able to work well independently and within a team.

What You Will Do
  • Manage schedules and calendars, including arranging meetings, conference calls and booking appointments.

  • Act as a representative of the Executive by demonstrating sound judgment with both internal and external clients.

  • Monitor and appropriately respond to emails, voicemails, and other correspondence in a timely manner.

  • Ensure effective communication within the Executive as well as to the organization.

  • Communicate with key clients including follow-up before and after meetings with agendas or follow-up actions.

  • Organize incoming information and track and monitor emerging priorities and events.

  • Monitor and schedule approvals and project deadlines.

  • Type, format, and create documents including minutes, meeting notes, and follow-up proposals.

  • Create and maintain filing systems, reconcile and submit monthly expenses.

  • Schedule, coordinate meetings, both internally and externally, including meeting logistics, hotel requirements, preparation of meeting materials, minutes, and relevant notes.

  • Organize all details for executive travel and client visits, including flights and accommodation.

  • Develop, prepare correspondence, reports, charts, graphs, and PowerPoint presentations.

  • Lead the planning and execution of high-profile organizational events.

  • Assist with onboarding and training of new staff.

  • Enter absences and vacation for corporate staff in UKG.

  • Assist with reception coverage as required.

What You Bring
  • High School Diploma or equivalent and administrative or clerical experience are required.

  • Post-Secondary education in Business Administration, or relevant discipline.

  • Must be fluent in English, both orally and in writing.

  • Minimum five years’ experience as an Executive Assistant working in a fast paced and high energy environment.

  • Strong planning, critical thinking, problem-solving, and task and time management skills.

  • Excellent interpersonal, leadership, coaching, verbal, and written communication skills.

  • Exceptional competency in Microsoft applications including Outlook, Word, PowerPoint and Excel; SharePoint experience is an asset.

  • Event management experience is an asset.

  • Must possess an attitude of professionalism, maturity, and sound judgment to successfully manage the challenges of this position.

  • Demonstrated ability to maintain confidentiality and handle issues of a sensitive nature with tact and discretion.

  • Excellent interpersonal skills and demonstrated ability to collaborate effectively with a broad range of individuals and groups.

  • Strong record of achievement; an entrepreneurial, hands-on approach.

  • High level of organizational skills; excellent attention to detail.
