POSITION OVERVIEW

The Event Sales Coordinator will support both sales and event planning teams by acting as a liaison, managing group and event business, and ensuring smooth coordination. This position will respond to inquiries, prepare sales agreements, coordinate site visits with clients and maintain client relationships. The Event Sales Coordinator will also handle administrative tasks like data entry, report generation and invoicing.

KEY RESPONSIBILITIES

  • Consistently monitor and respond to all event inquiries and leads.
  • Proactively generate new business through outside sales efforts, networking events, marketing outreach, and corporate engagement.
  • Provide support to events team by preparing sales agreements and contracts.
  • Oversee and monitor event space and room availability.
  • Coordinate meetings with potential clients, including on-site visits to their offices when applicable, building relationships and introducing the restaurant's capabilities.
  • Ensure seamless event planning and execution.
  • Support with vendor relationships and logistics.
  • Help prepare for events, including logistics management and staffing.
  • Maintain communication with clients throughout the event planning process
  • Build and maintain strong client relationships.
  • Maintain accurate event and client billing records using Tripleseat.
  • Prepare invoices and payment schedules
  • Generate reports and ensure data accuracy.
  • Actively follow up with clients to ensure satisfaction and address concerns.
  • Participate in sales meeting and strategy sessions.
  • Assist with event marketing and promotion.
  • Contribute to the overall success of the sales and event planning teams.
  • Act as a brand ambassador, representing the restaurant with professionalism and enthusiasm at all times.
  • Participate in relevant industry and community networking events; provide regular feedback and reporting on outreach activities to the GM and executive team.
  • All other tasks as assigned by immediate supervisor.

KNOWLEDGE, EXPERIENCE AND SKILLS

  • Minimum 1-2 years of experience in event planning, preferably in a fine dining or high-end hospitality setting
  • Bachelor's degree in Hospitality Management, Event Planning, or a related field a plus
  • Able to liaise clearly and professionally with clients, vendors, and staff
  • Delivers polished, detail-oriented experiences from planning through execution
  • Capable of handling multiple events simultaneously while remaining on schedule and within budget
  • Quick to address and resolve issues calmly and efficiently
  • Ability to remain composed and effective in high-pressure situations
  • Committed to creating memorable experiences for guests
  • Proficient in event management platforms such as Tripleseat or comparable systems
  • Comfortable with POS systems, reservation software (OpenTable, SevenRooms, etc.), and Microsoft Office Suite
  • Ability to communicate effectively and eloquently, both verbal and written, collaboration skills with a demonstrated high degree of emotional intelligence to manage and lead a diverse team.

PHYSICAL REQUIREMENTS

  • Ability to perform essential job functions consistently, safely, and successfully in accordance with provincial and local standards, including meeting qualitative and / or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with provincial and local standards.
  • Must be able to lift and carry up to 25 lbs at times.
  • Moving about on foot to accomplish tasks, particularly frequent movements from place to place within the work area and property. Bend, lift, carry, reach / extend arms, and hands above shoulder height frequently, or otherwise move in a constantly changing environment.
  • Climbing steps regularly
  • Prolonged periods standing or sitting at a desk and working on a computer and assist with setup and breakdown of events.
  • Ability to remain composed and effective in high-pressure situations

COMPENSATION

The base pay range for this position is between $50,000 CAD per annum plus commission. The determination of what a specific employee in this job classification is paid depends on a number of factors, including, but not limited to, prior employment history / job-related knowledge, qualifications and skills, etc.
