Job description

Reporting to the Senior Manager, Events & Operations, the Event Production Coordinator works with both internal and external stakeholders to assist with the planning and implementation of all events at TD Place or events that are operated by OSEG. This position is best suited for someone who has a proven ability to coordinate the various aspects of a broad range of events from administrative details through to and including event execution.

What you’ll do:

  • Create detailed and comprehensive operations and logistics information materials;
  • Identify and overcome logistical challenges by recommending creative and innovative solutions;
  • Participate and lead facility preparation to meet requirements of upcoming events;
  • Assist with and contribute to the completion of pre and post show notes and financial reporting (P&L’s, estimates, settlements, etc.);
  • Ensure process and check lists are in place and followed;
  • Establish working relationships and liaise with internal and external clients to ensure all needs are met and expectations are exceeded;
  • Coordinate and obtain proper municipal licenses and event permits;
  • Administer and oversee contracts to ensure compliance of terms, schedules, and deliverables.

What’s needed:

  • Completion of post-secondary degree or diploma in event management, or a related field;
  • 2-3 years of progressive experience in event production;
  • Strong work ethic and positive attitude, with the ability and desire to work as part of a multifunctional team;
  • High degree of resourcefulness, a proactive nature, great attention to detail, and adaptability;
  • Excellent organizational skills, time management, and prioritizing skills;
  • Great written and verbal communication skills;
  • Must be willing and able to work evenings, weekends, and holidays (based on event calendar);
  • Advanced computer skills including Microsoft Word, Excel, Outlook, and PowerPoint;
  • Ability to work under pressure and provide excellent client care to both internal and external clients;
  • Working knowledge of AutoCAD or a similar computer graphic software program is an asset;
  • Bilingual in English in French is an asset.
