Position Information

Job Title: Director of Operations

Full Time Equivalent: 100%

Location: MWC Kitchener Office

Reporting Structure: Reports to the General Secretary

Supervises
  • Bookkeeper & Operations Administrator
  • Bookkeeper & Engagement Administrator
  • Information Technology Technician

The Director of Operations leads the Operations Department of Mennonite World Conference (MWC) and is a member of the Leadership Team and the Senior Staff Team.

The Director of Operations works closely with the General Secretary to advance the mission and vision of MWC, contributing to the development of the organization’s strategic priorities and operational plan.

The Director of Operations is responsible for overall financial planning, reporting, and management, as well as for operations, including employee services, archives, and information technology.

Responsibilities
Accounting/Finance
  • Report quarterly financial results to staff, volunteers, and Officers
  • Report annually to the Executive Committee
  • Report triennially to the General Council
  • Manage annual audit
  • Work with senior staff and network chairs to prepare and monitor budgets and multi-year projections
  • Manage cash flow
  • Manage financial transactions and records
  • Manage investments
  • Update and monitor compliance with MWC financial policies
Legal
  • Manage corporate responsibilities and filings for Canadian and US corporations
  • Ensure all legal obligations are fulfilled
Administration
  • Manage North American offices, including leases and equipment
  • Develop and maintain administrative policies
Employee Services
  • Develop and maintain policies for employees, ensuring compliance with labour laws
  • Coordinate job postings and the hiring process
  • Maintain employee files for all staff
  • Ensure up-to-date job descriptions
  • Ensure employment agreements comply with best practices
  • Recommend salary increases as per MWC policies, for approval by the General Secretary and MWC Officers
  • Manage payroll for staff in Canada and the USA
  • Manage employee benefits
  • Ensure all employment filings and payments are made
Information Technology
  • Work closely with IT Technician to assess hardware, software, and system needs
  • Work closely with IT Technician, senior staff, and outside consultants to provide appropriate IT resources
  • Manage process for system upgrades and migrations with input from staff
  • Ensure that staff and volunteers are adequately trained and that their IT needs are met
  • Manage software procurement and distribution of software licenses
Archives
  • Develop and maintain appropriate archive policies
  • Ensure that policies are implemented
Collaboration within MWC
  • Participate in the leadership team and the senior staff team
  • Work with colleagues and volunteers to develop budgets and projections
  • Provide reports to monitor departmental revenues and expenses against budgets

  • Ability and willingness to travel
Preferred
  • Relevant service experience
  • Familiarity and understanding of MWC member churches
  • Language fluency in more than one MWC language (English plus French or Spanish)
  • Knowledge of databases
